Capital Projects and Leasing Coordinator
Job purpose
Coordinator for the department primarily responsible to obtain and prepare all required materials/approvals for registered capital projects and leases.
Duties and responsibilities
Provides administrative support for the Office of Property Services in the following areas:
- Once a project is registered, obtains and tracks materials for capital project contract development through to full execution of contract. Interacts individually with parishes regarding their involvement and responsibilities in capital projects.
- Prepares construction preparation memo for Office for General Counsel and provides supporting documents
- For capital projects, obtain copies of any/all final warranties
- Once a lease is registered, obtains and tracks materials for new leases and amendments through to full execution of lease
- Prepares final execution memo for Office for General Counsel and provides supporting documents
- Compiles periodic reports on status of capital projects and leasing
- Maintains master lease digest and lease expiration reports
- Assists parishes regarding compliance with Archdiocesan project approval process
- Administers/coordinates contractor Certificate of Insurance review/final approval with Parish and Porter & Curtis.
- Updates & maintains Archdiocesan approved vendor and consultant lists
- Maintains necessary project files; sorts, files and retrieves documents and project records; opens, closes and transfers project files (upon approval and signature of the Director);
- Coordinates/assists the Archdiocese/parishes in complying with any City of Philadelphia mandates/inspections (facades, boilers, fire escapes, building energy program)
- Assist and provide guidance to parishes on any inquiries regarding maintenance/capital projects/certificates of occupancy
- Performs any other position-related tasks or special projects assigned or required by the Director of Property Services
