What You'll Be Doing
- Arrives before business picks up for the day to conduct the "morning walk” of all spaces. This is the most important daily task of the Workplace team. It serves as the front line to ensure the spaces are clean, free of hazards, and vendors are doing their job.
- Shares reception duties with Workplace colleagues, acting as a virtual directory for employees and guests (knowledgeable in conference room location, departmental location, policies, building policies, etc.), and field employee Workplace requests (in-person, through portals and emails), directing through proper channels.
- Creates a memorable (polished, professional, warm, top-notch customer service) first impression for all guests.
- Submits building requests through proper channels and follows up to ensure completion.
- Supports/owns event planning and management.
- Responsible for assisting team with catering and pantry vendor management including restocking of items in pantry.
- Responsible for shipping and receiving (both employee and business mail)
- Oversees the day porter scope and building janitorial team scope (daily, weekly, monthly, quarterly, and annually) ensuring spaces are clean.
- Responsible for office supply orders, inventory, and stocking
- First aid and CPR certified and holds an emergency warden position.
- Cross-trained to provide "out of office” support for other Workplace team members ensuring daily operations run smoothly (cross-trained - vendor management, move management, event management etc.)
- Responsible for office security protocols and our internal badging system
- Handles all facility-related issues.
- Ability to travel as needed.
Qualifications
- 2+ years in hands-on Facilities or Workplace function at a tech start-up (ideally)
- Experience with office space planning, moves, buildouts and decommissioning of spaces.
- Experience with event setup or coordination.
- Experience with service ticketing systems (e.g., JIRA, ServiceNow) and international shipping.
- Working knowledge of standard computer applications including G-Suite & Slack

- Flexible hours and able to occasionally work before and after-hours for emergencies.

- Proactive and ability to foresee office projects and needs.
