Key Responsibilities
As a Veterinary Receptionist on the Weekday shift, you will be the first point of contact for our clients, both in person and over the phone. You’ll play a key role in patient intake and client communication while supporting our medical team. Key responsibilities include:
- Client Interaction: Greet clients and their pets warmly as they enter the clinic. Answer phones, triage inquiries, and provide information on services, procedures, and wait times in a calm, compassionate manner.
- Appointment Scheduling: Schedule emergency visits and follow-up appointments, manage changes to patient schedules, and coordinate with the veterinary team for optimal care.
- Patient Intake: Collect client and pet information, including medical histories and emergency case details. Input accurate data into our veterinary management system.
- Billing & Payments: Process payments, issue invoices, and assist with insurance billing. Ensure all financial transactions are handled accurately.
- Records Management: Update and maintain patient records, including medical histories, diagnostics, and treatment plans. Ensure confidentiality and HIPAA compliance.
- Communication: Relay messages between clients and medical staff, communicate with clients regarding pet care updates, and provide estimates for treatments.
- Manage Client Concerns: Address client concerns with patience and empathy, ensuring their questions and needs are handled efficiently.
- Office Supplies and Inventory: Ensure the reception area is stocked with necessary supplies and maintain inventory records.
- Team Collaboration: Work with veterinary technicians, veterinarians, and other staff to ensure smooth transitions from check-in to treatment.
Skills, Knowledge & Expertise to be Successful
- Experience: Previous experience in a veterinary practice or healthcare setting is essential. A minimum of 1-2 years of experience as a receptionist, especially in a fast-paced or emergency environment, is preferred.
- Education: High school diploma or equivalent required. Associate’s degree or additional administrative training is a plus.
- Skills: Familiarity with veterinary management software and proficiency with Microsoft Office (Excel, Word, etc.) is preferred.
- Physical Requirements: Ability to stand for extended periods, lift office supplies, and handle pets when necessary.
We are looking for an individual with excellent customer service skills, strong organizational abilities, and a calm demeanor under pressure. The ideal candidate will have:
- Veterinary Office Experience: Previous experience in a veterinary or medical office setting, preferably as a receptionist, is highly desirable.
- Customer Service Skills: Outstanding interpersonal and communication skills, with the ability to handle stressful situations in a calm and professional manner.
- Attention to Detail: Strong organizational skills and the ability to multitask while maintaining accuracy, especially when managing patient information and client records.
- Time Management: Ability to prioritize tasks and manage time effectively during busy or high-pressure moments, ensuring smooth front-desk operations.
- Computer Literacy: Proficiency in office software and veterinary management software (e.g., Avimark, Cornerstone, or similar) is preferred.
- Empathy and Compassion: The ability to empathize with clients and their pets, particularly in emergency situations. You will often be the comforting face for anxious pet owners.
- Team Player: Must be a cooperative, reliable team member who communicates effectively with both clients and colleagues.
- Problem Solving: Strong troubleshooting skills, with the ability to handle client issues or concerns effectively and efficiently.
