We’re looking for a project coordinator to join our ranks. As a Wealth Management project coordinator, you will be responsible for supporting the implementation and coordination of various projects within the wealth management group. You will work closely with project owners and managers, and other stakeholders across the firm to ensure projects are properly scoped, coordinated, documented, executed efficiently, and reported. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Project Coordination: Assisting in the planning, execution, and monitoring of wealth management projects. Coordinating activities, resources, and timelines to ensure project milestones are met.
- Documentation: Maintaining project documentation, including project plans, schedules, status reports, performance metrics, and meeting minutes. Ensuring all documentation is accurate, up-to-date, and accessible to relevant stakeholders.
- Communication: Facilitating communication between project team members, stakeholders, and senior management. Keeping all parties informed of project progress, issues, and decisions.
- Risk Management: Identifying and mitigating project risks. Proactively addressing potential obstacles and escalating issues as needed to ensure timely resolution.
- Resource Management: Helping coordinate with various teams and departments to allocate resources effectively for project tasks. Monitoring resource utilization and adjust as necessary.
- Quality Assurance: Ensuring project deliverables meet quality standards and adhere to regulatory requirements. Conducting regular reviews and quality checks to identify and address any discrepancies or issues.
- Stakeholder Engagement: Fostering positive relationships with project stakeholders, including clients, internal teams, and external vendors. Addressing stakeholder concerns and proactively seeking feedback to ensure project success.
- Continuous Improvement: Identifying opportunities for process improvement and efficiency gains within the project management framework. Implementing best practices and lessons learned to enhance future project outcomes.
Core Strengths and Skills
- Bachelor’s degree in business administration, finance, or related field.
- Proven experience in project coordination or management, preferably within the financial services industry.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal. Can effectively interact with diverse stakeholders.
- Experience with or willing to learn how to use PPM, project management reporting software.
- Attention to detail and a commitment to delivering high-quality work.
- Ability to work independently as well as collaboratively in a team environment.
