We are looking for a Client Service Representative to join our award-winning team! Voted Best of Durham for the past 11 years, we are an 8-veterinarian practice located in Durham, NC. As an AAHA-accredited and Certified Cat-Friendly Practice, we take pride in our exceptional standards. In this role, you will be responsible for delivering outstanding customer service, handling multiple phone calls, scheduling appointments, and effectively communicating client needs to our team members throughout the day.
Position Overview:
As a Client Service Representative (CSR), you will be the first point of contact for our clients and play a vital role in ensuring a positive experience for them and their pets. Your primary responsibilities will include managing client interactions, scheduling appointments, handling inquiries, and supporting our veterinary team in delivering top-notch care.
Responsibilities:
- Greet clients warmly and professionally, creating a welcoming atmosphere in the practice.
- Appointment and boarding reservation scheduling
- Provide information to clients about patient care recommendations and services
- Client education of our services, preventatives, standard of care, vaccinations, vaccine schedules, online pharmacy, website communication, PetDesk, and our phone App.
- Document and update patient records based on interactions and communicate effectively with doctors and coworkers
- Providing EXCELLENT Customer service
- Filling client's needs such as scheduling, prescription requests, answering questions, reminder calls, client forms, and other requests.
- Schedule and confirm appointments, ensuring efficient use of the veterinary team's time.
- Handle client inquiries, providing accurate information and directing them to the appropriate resources.
- Assist clients in understanding their pets' needs and guide them toward the services and products that best meet those needs.
- Maintain accurate client records and update information as needed.
- Process payments, manage billing inquiries, and ensure accurate financial transactions.
- Coordinate with the veterinary team to ensure smooth communication and efficient workflow.
- Address and resolve client concerns or escalate them to the appropriate team member.
- Perform other administrative duties as required to support the practice's operations.
?Qualifications:
- Outgoing and friendly personality with a genuine passion for helping clients and their pets.
- Previous experience in veterinary customer service (preferred)
- 3+ years of Customer Service Experience needed
- Proven experience in a customer service role, preferably in a fast-paced environment.
- Self-motivated and proactive, with a strong desire to complete tasks efficiently and accurately.
- Ability to work collaboratively as part of a team and independently when necessary.
- Ability to build excellent rapport with clients, staff, and comfort working with animals
- Ability to prioritize and multitask
- Positive and professional demeanor
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment
- Open availability including rotating weekends
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Comfortable asking questions and seeking clarification to provide the best possible service.
- Proficiency with computer systems and the ability to learn new software quickly.
