Overview
Kimley-Horn is looking for a Vendor Management Administrative Assistant to join our team in Raleigh, North Carolina (NC)! This is an in-office position.
Responsibilities
+ Handle high volume,deadline-driven American Express and Travel helpdesks
+ Reconcile and submit monthly expense reports for hotel and air programs
+ Enter invoices into the Concur system
+ Work with internal team members to update Travel website information
+ Communicate with the internal team and outside travel agency to coordinate entering meetings into Concur
+ Enter meeting information into airline websites for discounts
+ Track hotel contracts and rewards
+ Build and schedule group travel reports.
+ Assist with general support functions as required by the team
+ Support team where needed regarding large company-wide vendors such as Staples
Qualifications
+ Minimum 1 year of related administrative experience
+ Have a positive client service mindset
+ Facilitate, build, and maintain proactive relationships with firm colleagues and external vendors
+ Ability to respond quickly and efficiently to requests for assistance
+ Willing to network and build strong relationships with teammates around the firm
+ Balance tasks and quick turnaround timelines internal to the team and our clients
+ Capable of managing and balancing multiple tasks/priorities with a sense of urgency
+ Highly organized and detail oriented
+ Ability to learn new tasks and/or software programs quickly (including Concur, Excel, PowerPoint, Outlook)
+ Strong interpersonal and communication skills
