Job Summary
We are seeking a Maintenance Data Coordinator to join our Facilities & Site Services (F&SS) team in Tucson, AZ. The ideal candidate will play a crucial role in coordinating and providing administrative support for equipment maintenance tasks. This position requires working closely with internal teams and external service providers to ensure the smooth execution of maintenance operations.
Responsibilities
Maintenance Coordination:
- Manage software systems used for equipment work orders.
- Process and close calibration and maintenance work orders.
- Input and monitor equipment calibration data to comply with FDA, ISO, and other regulatory requirements.
Vendor and Invoice Management:
- Process purchase requests, purchase orders, and invoices for external vendors.
- Support the contractor pre-qualification process and ensure compliance with project requirements.
Data Management and Reporting:
- Compile, organize, and monitor maintenance metrics and key data.
- Establish and maintain highly confidential data files.
Communication and Team Support:
- Respond to inquiries about equipment maintenance processes and projects.
- Collaborate with internal and cross-functional teams on multiple projects in a fast-paced environment.
Systems Usage:
- Use various operating systems such as BM Regulatory Asset Manager, EtQ, SAP, and Microsoft Windows for task execution and communication.
Additional Tasks:
- Perform other duties as required or assigned by management.
Qualifications
Education:
- Associate’s Degree in a technical field or equivalent combination of education and experience.
Experience:
- Minimum of 4 years of functional administrative support experience, preferably in equipment maintenance and/or calibration.
Knowledge, Skills, and Abilities
- Strong time management, organizational, and problem-solving skills.
- Ability to coordinate cross-functional teams and manage multiple projects simultaneously.
- Excellent interpersonal, written, and verbal communication skills.
- High attention to detail with a process-oriented mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), scheduling/project management software, and other relevant tools.
- Customer-focused with a proactive and motivated attitude.
- Ability to meet deadlines and handle standard business communications effectively.
