Job Description Summary
The Program Coordinator for the Offices of Cancer Research Training and Education Coordination (CRTEC) and Programs to Enhance Diversity (OPED) is responsible for managing the daily administrative operations of CRTEC and OPED in the areas of education and training and enhancing diversity, equity, and inclusion (DEI). The Program Coordinator will work with trainees, program leaders, and other programmatic personnel to assist with executing the metrics and milestones of the Offices. Specifically, the Program Coordinator will provide oversight and assistance with the application and modification of existing programs and establishment of new programs. The Program Coordinator will provide technical assistance and maintain up-to-date knowledge of the status of CRTEC and OPED operations to ensure all activities are being conducted in an accurate and timely manner. The Program Coordinator will assist with managing administrative meetings and preparing special reports and presentations as necessary. Also, the Program Coordinator will assist with the planning and implementation of special events and outreach activities that would involve data collection and guidance for supporting the strategic direction of CRTEC and OPED as it relates to the overall mission of the Hollings Cancer Center.Entity

Job Description
35% Administrative support with managing the day-to day implementation of activities associated with CRTEC and OPED
- Coordinate regular program planning meetings and events including monthly committee meetings, annual Hollings DEI Grand Rounds
- Assist with the preparation of meeting minutes, programmatic reports, and presentations.
- Assist with maintaining the education and training webpages by assisting with updating and deploying digital and print communications to communicate education and training opportunities and enhancing diversity initiatives.
- Oversee MENTOR-UP program for URSW individuals including database of mentor-mentee pairings, mentee goals, meeting reminders, and tracking meeting occurrences and program metrics
- Serve as contact person for and appropriately direct external applicants interested in HCC programs
- Preparation of presentations on the progress and programming of OPED for HCC leadership, external stakeholders, and CCSG
- Prepare and submit budgets, billing, and invoicing records for OPED programming
35% Data Collection and Maintenance
- Assist with deploying routine surveys and other strategic communications to trainees through established Listservs and other portals.
- Assist with maintaining and updating trainee Listservs. Assist with tracking and conducting routine quality assurance data checks of trainee data within the Trainee Tracking Database.
- Maintain contact with and conduct periodic check-ins on high school and undergraduate students who have participated in HCC programming
- Maintain up to date registries on the demographic composition of all HCC programs
- Prepare annual report which will include demographic trends for HCC leadership, faculty, trainees, and staff, participation numbers for high school and undergraduate pipeline programs, and progress of women and minority trainees
20% Special Event Coordination and Partnership Development and Retention
- Assist with the planning and implementation of special events to include but not limited to:
- Annual Lowvelo Symposium,
- Annual MENTOR-UP Celebration
- Annual Diversity, Equity, and Inclusion Grand Rounds
- All ongoing seminars, training workshop series, career development meetings
- Annual travel to one national cancer conference for recruitment purposes
- Manage applications for OPED sponsored programs and assign applications to DEI committee members to review (including Faculty Cancer Health Equity Scholars Program, Trainee Cancer Equity Scholarship Program, External Professional Development Opportunities, HCC staff MUSC BRIHTE Leadership Academy, Post-baccalaureate cancer certificate program)
- Travel to SC State University and other Historically Black Colleges and Universities to strengthen partnerships with program leaders
10% New Project Development
- Given the novelty of the CRTEC and OPED, we will be creating multiple new initiatives related to the aims of the 2 offices, and assistance on these new activities will be ongoing.
