About the Job
The Unit Secretary is a member of the nursing staff who acts as a receptionist on the nursing unit and assumes the responsibility for clerical duties and the communication systems. The Unit Secretary is responsible to the RN, Clinical Supervisors and the Unit Manager.
Responsibilities:(40%)* Processing of Charts/Orders- Utilizes specific forms and packets appropriately for downtime. Notifies nurse immediately of STAT orders. Schedules procedures and appointments through Central Scheduling and through patient care departments. Schedule follow-up appointments for patients. Obtains necessary paperwork and/or consents from formfast. Demonstrates correct procedure for placing referrals.
(30%)* Maintenance of records- Faxes records to appropriate designation as requested Checks in EMR for Advance Directive on admission of a patient. If one is present, makes a copy and places it in the front of the chart. If not current, places a copy in the nurse box for review with the patient. Notifies nurse of need for order of DNR status. Flags the chart with AMD and DNR stickers when appropriate.
(30%)* Computer Programs Demonstrates competency to use functions within the EMR etc. Places order for NPO status prior to tests as applicable.
OTHER DUTIES AND RESPONSIBILITIES:
Answers systems appropriately.
Orders stock for nourishment room.
Orders office supplies as needed.
Utilizes spare time productively (make up charts, check supplies, organize, clean, etc.
Performs miscellaneous duties as assigned by the Nurse, Clinical Supervisor or Unit Manager.
Takes initiative to perform duties not directly assigned.
Demonstrates competency to use equipment pertinent to the US role (copy machine, fax machine, etc).

Remains at the desk at all times unless relief is provided.
Follows correct procedure for reporting of errors and procedure for completing variance reports.
Demonstrates understanding of role in emergency preparedness procedures such as fire drills, arrest, evaluation, bomb threat, etc. and performs calmly and efficiently during emergencies.
Certifications and Licensures:BLS - Basic Life Support
Required Equivalent Experience - Within 1 month of hire or transfer
Required Education:Education: High School Diploma or GED
Other Information:EXPERIENCE, TRAINING AND SKILLS:
Medical terminology course or equivalent experience acquired through a clinical setting required.
Must demonstrate medical terminology proficiency by written exam with a minimum of 90% accuracy.
Must demonstrate proficient keyboarding skills of at least 35-40 wpm.
One or two years of experience in a healthcare setting; hospital, physician’s office or insurance company with exposure to medical terminology preferred.
Strong organizational and prioritization skills Interpersonal skills needed to communicate successfully with individuals and groups and interact with people at all levels to communicate ideas and concepts in a clear and understandable manner.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
Overall vision and hearing is necessary with or without assisted device(s).
Frequently required to sit/stand/walk for long periods of time.
May require frequent postural changes such as stooping, kneeling or crouching.
Some exposure to blood borne pathogens and other potentially infectious material.
Must follow MyMichigan Health bloodborne pathogen and TB testing as required.
Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
Overall dexterity is required including handling, reaching, grasping, fingering and feeling.
May require repetition of these movements on a regular to frequent basis. Physical Demand Level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
