About the Job
Under the general supervision of the Assistant Controller, the Accounts Payable Clerk will manage invoice processing, payment disbursement, and maintain accurate financial records. This role is integral to supporting the company’s financial operations.

Job DescriptionInvoice and Payment Management:
- Match invoices with receiving documents and ensure accurate data entry into procurement/payables systems.
- Process payments, verify transaction accuracy, and maintain records of voided checks.
- Prepare journal entries and monthly reports for unrecorded liabilities.
Vendor Coordination:
- Collaborate with vendors, purchasing, and receiving teams to resolve discrepancies and overdue invoices.
- Negotiate terms with vendors, including discounts and payment extensions.
Financial Reporting and Recordkeeping:
- Review and correct general ledger account codes for payments and purchases.
- Maintain project accounting records and generate special reports, such as cost analyses and withheld invoice details.
- Ensure the retention and accessibility of both electronic and physical records for audits.
Other Duties:
- Perform other tasks as assigned to support the department’s needs.
- Prior Accounts Payable experience is a plus but not required.
- Proficient in data entry and basic knowledge of Microsoft Excel; experience with Access and Word is a plus.
- Strong organizational, written, and verbal communication skills.
- Ability to work overtime during monthly financial close periods if needed.
- Self-motivated with strong attention to detail.
