Job Summary
Provides administrative and operational support in accordance with established systems and procedures. Maintains information database systems and other routine reports for management review and decision making. Establishes and maintains appropriate files and records. Responds to trust business related questions and inquiries, escalating more complex issues to senior team members for resolution.
Job Duties and Responsibilities
* Builds strong client relationships to respond to inquiries, research and resolve account issues, and assist with identifying client needs. Partners with Relationship Managers to meet client needs and expectations, enhance client experience and establish rapport. Provides quality service based on client needs, wants, and expectations. Aligns actions accordingly and remains sensitive and responsive to both internal and external clients
* Coordinates and monitors all daily activities and transactions necessary for the efficient administration of client accounts including account opening and closing, cash management, asset transfers, bill review and payment processing, cash disbursements, charitable gifting, private banking, sub-accounting and correspondence. Assists with the administration of retirement benefit plans as requested.
* Personal Trust: Coordinate client tax, estate and personal issues with CPAs, attorneys, insurance agents and other service providers.
* Maintains account files, activity logs, and other ad-hoc reports as required. Collects and organizes data, and prepares reports for management or customer review. Works with the systems administration teams to ensure data accuracy, integrity and confidentiality is maintained.
* Maintains effective working relationships with system or servicing third party vendors as requested. Acts as a liaison facilitating the prompt resolution of system issues and other service support issues.
* Creates and maintains proper account documentation and files account related material according to the prescribed system in a timely manner. Ensures data is maintained in accordance with document retention requirements and distribution is based on the need to know and authorizes level of access.
* Provides general administrative support within the department as needed.
* Each team member is expected to be aware of risk within their functional area. This includes observing all policies, procedures, laws, regulations and risk limits specific to their role. Additionally, they should raise and report known or suspected violations to the appropriate Company authority in a timely fashion.
* Performs other related duties as required.

Minimum Education:
* High School Diploma or equivalent.
Minimum Experience:
* Three years of job related work experience and/or administrative support experience.
Required Knowledge, Skills, & Abilities:
* Knowledge of Trust administration and Trust products
* Working knowledge of Trust operations
* Trust Operating System background
* Understanding of accounting terms, concepts and formulas
* Strong time management and organizational skills
* Ability to perform multiple task at the same time, while maintaining attention to detail and meeting deadlines
* Strong verbal, written, and interpersonal communication skills to effectively interact with internal and external customers
* Proficiency using Microsoft Office and its related applications including Excel, Word, PowerPoint, and Teams
