GENERAL PURPOSE OF THE JOB
The associate processes and reconciles complex transactions for assigned system applications and performs the necessary administrative functions to support the department. Serves as a direct contact to support complex research items and provides workflow guidance.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- The following are representative duties that may be assigned to the associate. Each associate may perform any or all of the duties listed below, as well as other duties as necessary to complete the department's workload in a timely and accurate manner.
- Assist the Trust Department Officers with day-to-day administrative and clerical functions.
- Accurately enter information and data to create client e-files.
- Assist with opening, closing and maintaining accounts.
- Reviews paperwork to insure completeness, accuracy, and proper authorizations.
- Coordinate, assist and monitor money movement, including receipts, disbursements, account activity and wire transfers.
- Prints and mails Trust checks.
- Performs data entry and reconciles transactions entered into various Trust processing applications to support wires, ACH, deposit accounts, and general ledger processing.
- Provide high-quality assistance to Trust Officers and clients.
- Review and analyze Trust/Estate documents, preparation of summary of same for file, prepare paperwork for yearly accountings, inventories and other required documents.
- Responds to both internal and external customer inquiries.
- Brings daily entries to branch personal banker.
- Assist with federal and state tax filing.
- Provide general departmental support including photocopying, scanning, faxing and daily filing and e-filing.
- Provides excellent customer service by answering telephone calls and greeting Trust clients.
- Process outgoing and incoming mail, including postage and sorting.
- Participate in ongoing education/learning and training (Fiduciary, Trust administration, Investment services, etc.).
- Responsible with recording both Trust Investment Committee (TIC) and Trust Administrative Committee (TAC) minutes.
- Responsible for e-filing TIC and TAC agenda and minutes.
- Research legal issues in trusts, estates, and retirement plans.
- Adhere to all internal and external regulatory requirements, standards, guidelines, policies and procedures.
- Any other duties that may be appropriate to achieve the objectives of both the department and organization.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities, but the associate could assist with guidance and training of new hires and less experienced staff.
MINIMUM REQUIRED EDUCATION, EXPERIENCE & KNOWLEDGE:
- Associate degree required. Degree in Business, Finance, or Accounting preferred or equivalent of work experience.
- 2 years of banking or related field experience strongly preferred.
- Prior paralegal experience, a plus.
- Proficient in Microsoft Office Suite including Word and Excel.
- Excellent customer service and communicative skills.
- Excellent organizational and time management skills.
- Ability to prioritize and manage multiple tasks.
- Strong attention to detail.
ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS:
- Ability to work an on-site position with a typical schedule of 40 hours per week, Monday through Friday. Overtime or extended hours may be occasionally required.
- Ability to travel if required to perform the essential job functions.
- Ability to work under stress and meet deadlines.
- Ability to operate related equipment to perform the essential job functions.
- Ability to read and interpret a document, if required, to perform the essential job functions.
- Ability to lift/move/carry approximately 15 pounds, if required, to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department/division an "undue hardship" then the employee must be accommodated; hence omitting lifting/moving/carrying as a physical requirement.
