We are currently recruiting for a full-time Traveling Field Clerk!
The Traveling Field Clerk will assist the Project Accountant in tracking all billing and costs for commercial restoration and construction projects for the Large Loss Division. Job assignments include data entry of all daily paperwork, receipts and invoices as well as maintaining all spreadsheets related to each project. Other responsibilities include auditing all field paperwork, coordinating/setting up CAT office, ordering sub-contractors, managing the sign in/out process of every field job, organizing all back up documentation, and approving temp invoices.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Data Entry
- Create invoicing file with the correct Price List and Master job file.
- Create, edit and maintain vehicle list and hotel assignments.
- Create and maintain a contact list for each project.
- Assist with mobilization/demobilization efforts including booking flights, hotels, rental cars.
- Create and manage the electronic job folder for the Project.
- Keep track of and organize all paperwork related to the job (both hard copies and digital back up documentation)
- Ensure everyone on a project is signed in to the project daily, including all SRM personnel, general labor, and subcontractors, if applicable.
- Assist the PM/APM with line ups and ensure that there is an accurate headcount of both SRM personnel and General Laborers, that match the Master Sign In sheets and Dailys’ each day.
- Assist PM to ensure the job file is set up correctly as per the signed contract for the project.
- Audit all data entry and electronic job file daily and when preparing file for billing.
- Ensure all spreadsheets and schedules are accurate and up to date daily.
- Manage petty cash, disperse per diem as needed
- Follow 3rd break procedures on each project and make sure all paperwork is filled out correctly and accurately.
- Work with the Project Manager to ensure all job costs are tracked properly in invoicing software and costs are tracked and up to date.
- Work with resource coordinator to ensure all equipment and materials are being tracked properly and accounted for in the job file.
QUALIFICATIONS
- Proficiency in Microsoft Excel, Microsoft Word, and overall good computer skills
- Ability to learn new software and programs both on a computer or other technology such as a smartphone
- Competent keyboard skills
- Strong math skills
- Strong reading, writing, grammar and spelling
- Ability to both follow and give instructions verbally and written
- Ability to work both individually and as a team
- Able to work well in large group settings

PHYSICAL REQUIREMENTS
- Field conditions, fast-paced work with variable workload. Field conditions include but are not limited to Category 3 containments, biohazard, confined spaces, attics, hot and cold conditions and blood borne pathogens. Proper PPE is provided and must be worn as required by the working condition.
- Body Positions: Sitting at a desk for 12+ hours a day
- Required to travel nationally
- Ability to lift/carry 25 lb+
- Ability to walk, stand, bend for long periods of time
