Travel and People Operations Coordinator
Overview:
We're looking for a talented and organized Travel and People Operations Coordinator to join our dynamic team! This role combines managing company travel, handling HR administrative tasks, and working on various projects. You'll be responsible for arranging business travel, managing our travel platform, and ensuring cost-effective and efficient travel arrangements for our employees. This full-time position requires working onsite once a week in NYC's Financial District.
Key Responsibilities:
1. Travel Management:
- Arrange business travel within approved reasons and budget limits
- Manage our company travel platform, ensuring compliance with travel policies
- Create new team member travel accounts and provide necessary information
- Partner with team members to provide insights on travel guidelines for events
- Coordinate hotel room block contracts for company-wide events
- Liaise with accounting and payroll for travel expense reporting
- Obtain leadership approval for travel requests exceeding established limits
2. People Operations:
- Manage the People Team inbox
- Upload documents to our HRIS system (ADP)
- Assist with scanning and distributing mail
- Support the People Operations team with various administrative tasks and projects
- Coordinate event and travel logistics for People Team and Senior Leadership team events
- Assist with People Team dinner reservations
3. Administrative Support:
- Maintain organized documentation on SharePoint
- Provide input to optimize travel functions and policies
- Generate regular and ad-hoc travel reports
- Perform other related duties as assigned
Qualifications:
- Excellent verbal and written communication skills
- Strong knowledge of the travel industry
- Exceptional decision-making and problem-solving abilities
- Proactive approach to identifying and preventing potential issues
- Outstanding organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Eagerness to learn and assist team members
- High level of interpersonal skills for handling sensitive situations
- Basic understanding of employment law
- Ability to multitask, prioritize, and thrive in a fast-paced environment
- Comfortable working onsite once a week in NYC's Financial District
