About the Job
The Trauma Coordinator/Registrar is a key leadership role responsible for directing, planning, and evaluating the day-to-day operations of trauma services within an assigned trauma center. This individual ensures the integration of pre-hospital, emergency department, surgical, and inpatient services to deliver high-quality patient care, while maintaining compliance with regulatory standards and advancing performance improvement initiatives. The position reports to the Trauma Program Manager.
Responsibilities:
Trauma Operations and Designation:
- Coordinate the activities of Trauma Services to align with Trauma Center designation/verification requirements.
- Integrate services across hospital departments to establish and maintain high-quality patient care standards.
- Supervise, plan, and evaluate daily operations, ensuring alignment with the hospital's strategic goals.
- Prepare budgets, monitor operational costs, and manage resources effectively.
- Collaborate with medical directors, administrative teams, and external stakeholders to implement and optimize trauma services.
- Oversee the compilation and organization of documentation for ACS Trauma surveys and state designations.
- Facilitate community outreach and education in collaboration with marketing and other agencies.
Trauma Registry and Data Management:
- Enter, maintain, and validate trauma data in the registry (NTRACS) utilizing E-Coding, AIS scoring, and ICD-9 coding.
- Conduct data analysis for performance improvement, report cards, and compliance reporting.
- Coordinate with state and national registries, ensuring adherence to data submission requirements.
- Troubleshoot software issues in collaboration with IT support teams and implement annual updates to the trauma registry.
- Safeguard the confidentiality and integrity of patient data.
Performance Improvement and Core Measures:
- Analyze trauma registry data for quality improvement and benchmark outcomes using TQIP and other frameworks.
- Collaborate with clinical teams to identify best practices and implement evidence-based guidelines.
- Provide feedback to medical staff on performance metrics and support compliance with core measure requirements.
- Develop and maintain processes for data validation, error detection, and quality reporting.
Education and Professional Development:
- Provide education and training on trauma data systems, regulatory updates, and clinical performance improvement.
- Maintain certifications (e.g., TNCC, ATCN, TCRN, CSTR) and participate in ongoing professional development.
Qualifications:
- Education: Bachelor of Science in Nursing (BSN) required; Master’s degree preferred.
- Licensure/Certification: Active RN license in Indiana. Current BLS/CPR, TNCC, and ATCN certifications (or obtained within the first year). CSTR certification required within two years. TCRN and CAISS preferred.
- Experience: Minimum of two years in trauma services or related areas. Prior experience with trauma registry, medical records, or similar systems is preferred.
- Skills:
- Strong analytical, organizational, and communication abilities.
- Proficiency in ICD-9/ICD-10 coding and computer applications (e.g., data entry, spreadsheets, and presentations).
- Knowledge of regulatory standards and performance improvement methodologies.
Work Environment:
- Office and clinical settings with regular interaction with patients, staff, and external agencies.
- Requires public speaking, deadline-driven tasks, and collaboration across multidisciplinary teams.
Physical Demands:
- Ability to walk/stand for prolonged periods and perform the essential functions of the position.
