Overview:
Position Purpose and Impact: The Trade Execution Administrative Assistant will provide support to the Execution Team with daily tasks to coordinate the physical movement of commodities (grains and oilseeds) purchased and sold by the organization. This individual will bring attention to detail, support, and professionalism to assist in trade flows.
Responsibilities:Primary Accountabilities/Responsibilities:
- Provide overall business support for daily trade flows, such as entering overage contracts when requested and reaching out internally and externally to gather necessary requested information.
- Develop and maintain positive relationships with external customers and internal StoneX business groups.
- Assist with various customer inquiries, such as requesting settlement documentation from counterparties, confirming ACH payment information with customers, and collecting grain tax when needed from counterparties.
- Organize paperwork associated with physical contracts, such as uploading signed contracts and verifying accuracy on counterparty contracts.
- Track and assemble required documentation like financials, tax forms, trade authorities, formation documents or parent guarantees for client onboarding and credit underwriting.
- Monitor accounts receivable and past due contract deliveries to provide detailed information to Execution Team and Credit group.
- Communicate with customers annually on account and credit limit renewals.
- Regularly confirm open orders with customers to ensure accuracy.
- Timely and accurately using Excel, upload mark-to-market and producer data when needed.
- Communicate daily trade indications from Hedge Desk to customers.
- Export data from system(s) of entry when requested to aid in audits.
- Overall business support for activities including customer engagement activities, client visits, conference and industry event planning, and onboarding of customers.
- Prepare letters, documents, reports, and presentation materials as requested. Understand audio-visual capabilities and operations for client facing suites, to ensure seamless client sales processes.

Minimum Qualifications:
- Minimum 3 years of administrative experience and/or training.
- Proficient computer skills, including Microsoft Office.
- Excellent verbal and written communication skills.
- Strong organizational skills and ability to multi-task and meet deadlines.
- Ability to build relationships with internal and external customers.
Preferred Qualifications:
- Experience with state grain regulations
- Experience with grain taxes
- Basic understanding of commodity markets
Physical requirements/Working conditions:
- Maintain prompt attendance in an office
- Occasional visits to other offices, client meetings and industry events
- Dynamic, time-sensitive environment
