Executive Assistant
Office Of The Director (OOD)

Salary: $60,000 - $65,000

Position will remain open until filled.
This position provides high-level professional administrative support to the Office of the Director (OOD) for the Director, Deputy Directors, Chief Medical Officer, and other managers/supervisors in OOD for the overall strategic implementation of the Agency's vision, mission and goals.
Major duties and responsibilities include but are not limited to:
* Provide professional level administrative support to the Director & Deputy Directors and providing back-up to the CMO, performing work of considerable complexity and difficulty. Manage the Director's, Deputy Directors' calendars, scheduling appointments and meetings requiring extensive coordination within OOD the agency, external customers, Governor's Office, political officials, tribal entities and organizations/agencies in state and out-of-state.
* Participate in OOD Leadership Team meetings assisting with the development & implementation of division strategic goals, policies & work plans. Coordinate agenda, materials & logistics for other agency leadership meetings (AHCCCS All-Leader Meeting).
* Partner with Payroll to oversee professional & outside services & secure temporary personnel services as needed; oversee payroll process (ETE). Partner with Facilities for all facility equipment, use of space & physical moves. Partner with ISD for all IT equipment moves/setups and technology needs for the division.
* Travel coordination for executive management - prepare travel arrangements, reservations, registrations and reimbursements. Complete and submit travel reimbursement for executive management as needed to assure timely submission and employee reimbursement.
* Serve as the SECC Committee Co-lead.

Minimum:
* Three to five years of high-level professional administrative support.
Preferred:
* Preference will be given to candidates with experience state government experience and/or healthcare or hospital experience.
* Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees.
* Successfully pass fingerprint background check, prior employment verifications and reference checks; employment is contingent upon completion of the above-mentioned process and the agencys ability to reasonably accommodate any restrictions.
* Travel may be required for State business. Employees who drive on state business must complete any required driver training (see Arizona Administrative Code R2-10-207.12.) AND have an acceptable driving record for the last 39 months including no DUI, suspension or revocations and less than 8 points on your license. If an Out of State Driver License was held within the last 39 months, a copy of your MVR (Motor Vehicle Record) is required prior to driving for State Business. Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.
