Timecards Administrative Assistant - Black Diamond Networks

Position: Timecards Administrative Assistant

Location: Andover, MA

Pay: Hourly wage

Please note this position is based on-site at our Andover office and is not a role that can be performed remotely.

What you’ll do:

Timecard & Expenses Processing:

• Work as part of a team in the reviewing & tracking of contractor invoices, expenses reports and timesheets.
• Proactively communicating with consultants via email and phone regarding pending items
• Point of contact for payment inquiries
• Obtain timesheets from online systems, review for accuracy/approval and upload into system
• Create weekly timesheets and expense reports
• Text weekly payroll reminders using texting program
• Track & communicate missing items
• Answer questions from contractors regarding payments or timesheets
• Send welcome emails to contractors beginning a new assignment
• Cross train within operations department to provide additional support as needed.

Experience and skills you’ll need:

• High School diploma required
• One-year administrative support, preferred
• Strong telephone and verbal communication skills
• Ability to multi-task
• Meticulous attention to detail
• Prior customer service
• Time management Skills
• Ability to learn quickly and adapt to changes within the organization
• Strong computer skills, including knowledge of all Microsoft Office applications and the ability to adapt to new computer programs
• Desire to be a team player and work as part of a group
