Position Summary
Amp Americas is seeking a temporary, part-time Office Manager/HR Administrator to cover a parental leave. The ideal candidate will work Tuesday – Thursday, 8:30am – 4:30pm for a period of 3 - 4 months, beginning in late June 2024.
The Office Manager/ Administrator will coordinate and oversee a range of administrative duties to ensure that the Amp head office operates efficiently and smoothly during this period. We are looking for a self-starter who is efficient, dependable, and experienced in maintaining a professional and effective office environment. This position reports to the People & Culture team and provides administrative support to the CEO, as well as assists with HR tasks, including onboarding, offboarding, and other related duties. As needed, the individual will also assist with other tasks that may arise in a high-growth start-up environment.
Key Responsibilities
• Oversee and support all administrative duties in the office
• Manage the office, including vendor management, repairs, and communicating with building management
• Maintain office and kitchen supplies, including stocking snacks & drinks
• Greet visitors, answer, and redirect phone calls, and handle incoming and outgoing mail, packages, and deliveries
• Order catering meals for office meetings and events and lead the set-up and break-down for events
• Provide administrative support to the CEO, including coordinating meetings, maintaining calendars, and scheduling travel
• Assist the People & Culture team with new hire onboarding, including setting up workspaces, welcoming new employees to the office, and guiding them through the onboarding process
• Support offboarding tasks, such as collecting company property
• Create a welcoming and engaging workplace for team members
• Handle matters with discretion and confidentiality
Skills / Abilities / Qualifications
• Minimum of 3-5 years of combined experience in an office management role and providing administrative support to executive-level staff
• Proven experience with HR processes, including onboarding and offboarding
• Ability to be on-site at least 3 days/week
• Exceptional attention to detail
• Excellent communication and interpersonal skills
• Strong organizational and time management skills
• Self-starter with strong initiative and ability to work under minimal supervision
• Basic proficiency with IT hardware setup
