Covered under University series concept / job specification for classification 4722. Under general direction works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments.
Job Duties:
• Merge and mail outreach letters, recording all activities in database
• Coordinate data for analysis and prepare meeting materials
• Support annual giving activities, including calling and mailing renewal materials to past and prospective donors
Event coordination:
• Draft invitation materials, coordinate email invitations, and organize RSVPs
• Partner with event coordinator on catering, linens, florals, name badges etc.
• Provide on-site event support
• Draft and coordinate post-event emails to attendees when applicable
• Submit vendor payments
Conferences:
• Share opportunities for support with new prospective exhibitors and past sponsors
• Provide day-of event support for exhibitors
• Ensure timely paperwork and payment for all sponsors/exhibitors and coordinate tracking with Finance
• Attend regular planning meetings (Zoom and in-person as needed)
Stewardship:
• Draft gift acknowledgment letters and ensure timely submission
• Record stewardship activities in ZotForce database
• Coordinate ordering any stewardship gifts or items
Admin:
• Corporate card packets/expense reports and submit mileage reports
• Submit gift records and gift transmittals, liaise with Gift Administration and Finance to ensure timely gift reporting
• Misc ordering supplies

Pay rate: $28.48/hr
Required:
- 20 hours a week(possible occasional nights, or weekends for events), with a flexible schedule.
- Hybrid, one day in the office (on Campus)
- Requires atleast 2 years solid admin experience with some experience in events, along with mail merge and calendaring.
- Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
- Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
- Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
- Bachelor's degree in related area and/or equivalent experience/training
- Proficiency with Microsoft Word, Excel, and Outlook, KFS
- Dress code: Business casual
Ability to read, write and follow oral and written instructions in English

TEMPORARY EMPLOYMENT
This is a temporary employment recruitment reporting to the UCI Temporary Employment Services (TES) Department. Interviewing and hiring is based on internal hiring needs and how well the candidate's experience matches the assignment requirements. Certain temporary assignments may require clearance of a health physical or require a valid California Driver’s License for driving university vehicles.
The majority of our temporary positions are Monday – Friday, 8:00 a.m. – 5:00 p.m. We also have occasional part-time, weekend, and evening hours available, depending on the assignment. Comprehensive benefits options are also available for temporary employees, including paid vacation, holidays, and sick leave.
