Human Resource Assistant
Job Summary:
We are a growing municipal, looking for a temporary Human Resource Assistant to join our team in support of our HR functions. This role will help oversee onboarding, benefits, our retirement program and assist with our HRIS implementation. In addition, this position will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. Duties/Responsibilities:
- Conducts or assists with new hire orientation.
- Oversee the onboarding process of new hires, including:
- Conducting pre-employment background checks, collecting employee eligibility verification documents and completing the I9 employment verification process.
- Completion of all required onboarding documentation.
- Submitting all necessary paperwork to the appropriate parties.
- Appropriately filing or storing of documents per internal policies.
- Support the HR Manager with benefits re-enrollment and new employee benefits enrollment.
- Oversee all matters pertaining to the Utah Retirement System (URS), including:
- Answering questions from employees, applicants and leadership.
- Enrolling new employees into URS system.
- Maintaining up to date on any chances and informing the HR Manager of them.
- Assist in data entry into the HRIS system including:
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Performs other duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
Education and Experience:
- Associate’s degree in Human Resources or a field required.
- Three (3)+ years of prior office related experience preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Schedule: 9:00AM-2:00PM, Monday, Wednesday, Friday
