Job Summary
Under the direction of the Accounting Manager and Chief Financial Officer, the temporary Finance and Accounting Assistant performs a wide variety of basic clerical, basic accounting, data entry, and routine office support and administrative duties for the Finance and Accounting departments.
Essential Functions- Performs a variety of office support and administrative duties which includes writing and proofreading reports, agenda items, and other documents using a variety of word processing, data base, accounting, and spreadsheet software applications.
- Maintains and enters scans, stores records, files, and reports. Prepares documents for archiving in accordance with the District's Record Retention Policy.
- Assists in the preparation, copying, compilation, distribution and mailing of Budget packets during the budget period. Conducts rate surveys and gathers information and data as needed.
- Prepares Finance department MAP, Finance Committee, and other Special and Committee Meeting agendas, notes, and minutes.
- Distributes monthly reports as required.
- Inputs data from bank statements and performs check canceling.
- Requests and electronically files Certificates of Insurance in ERP System (Tyler).
- Prepares miscellaneous cash receipts postings, including collection, batch input, and bank deposit processes.
- Assists with accounts payable processes including preparation and input of utility batches, travel, and credit card invoices for payment, and scanning of completed payment of claims packets.
- Prepares all miscellaneous accounts receivable invoices including follow up on delinquent accounts for collection.
- Assists in the preparation and distribution of Finance Division Requests for Proposals and in some cases is the point of contact with proposers.
- Adheres to and enforces stated safety policies and procedures.
EDUCATION
- High school graduation or equivalent.
RESPONSIBILITY
- Handles confidential matters related to District business.
- Ability to work independently after receiving instructions.
- Requires thorough knowledge of business letter writing and composition, punctuation, spelling, grammar, and vocabulary
- Requires good working knowledge of current office methods, procedures and equipment, especially computers. Needs proficiency in Microsoft Office.
- Ability to operate a 10-key calculator accurately and efficiently.
- Must be proficient in word processing, document management, accounting spreadsheets, and accounting principles.
- Requires ability to type accurately and efficiently.
- Ability to make accurate comparisons and computations and create spreadsheet analyses.
- Requires the ability to establish and maintain files.
- Requires the ability to maintain the highest degree of responsibility and confidentiality necessary in a professional setting.
- Requires good organizational skills.
- Requires the ability to understand questions from the public and staff and to give clear and accurate responses.
- Requires the ability to work independently to carry out basic tasks and devise improvements as necessary.
- Requires the ability to read, understand, and follow written or verbal instructions.
- Requires the ability to maintain cooperative relationships with co-workers, managers, and supervisors.
- Requires a valid, current drivers' license, acceptable by the State of California, with a driving record which enables insurability.
