Responsibilities
- Calendar management, schedule appointments, and meetings, and update changes accordingly.
- Oversees incoming calls, emails, and correspondence, and directs inquiries to the appropriate channels.
- Welcomes guests, determines the nature of business, and announces visitors to appropriate team members.
- Create, format, and proofread reports, presentations, and other documents.
- Manage databases, updating spreadsheets, and other record-keeping activities.
- Organize and maintain physical and digital filing systems.
- Coordinate meeting logistics, including preparing agendas, taking minutes, and distributing notes.
- Handle general office tasks (ordering supplies, managing office equipment, etc.).
- Assist with processing expense reports.
Ideal Experience
- Bachelor's or Associate degree with 3-5 years of experience supporting a senior executive.
- Detail-oriented and comfortable working in a fast-paced environment.
- Ability to handle multiple tasks while properly prioritizing urgent and high-impact work.
- Strong organizational skills, attention to detail, and solid time management skills.
- Excellent written and verbal communication skills.
- Self-starter with the ability to work independently and as part of a team
- Proficient in MS Office Suite, Outlook, Adobe Acrobat, and Zoom
- Ability to handle confidential information with discretion.
- Experience with QuickBooks or accounting software is a plus.
