Job Summary
The Pediatric Template Manager of Patient Access and Capacity Management is a member of the ambulatory operations team responsible for pediatric sub-specialty clinical services. This position reports to the Director of Ambulatory Operations. Under minimal supervision, responsible for managing the template team staff. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care. Promotes sound operational practices using a variety of communication strategies, process efficiencies, training programs, and data-based metrics. Works collaboratively with Department leadership, Primary Children's Hospital (PCH), and physician faculty members. Manages 8 plus template team staff and assists in implementation of new processes.
Works closely with ambulatory operations leadership and business analysts to evaluate clinic fill rates and access across 13 ambulatory clinics in the department of pediatrics. Ensures physician and ambulatory schedules are built to optimize fill rates and ensure we are meeting the demands of the community. Assists in managing clinical space and helps optimize space utilization, capacity, and throughput/efficiency.
The ambulatory group in the Department consists of 13 pediatric subspecialty divisions and service lines that practice primarily at Primary Children's Salt Lake Campus, Primary Children's Riverton, Primary Children's Layton, Primary Children's Lehi (Miller Campus), and various satellite clinics. The pediatric ambulatory clinics at Primary Children's operate in site-of-service 11 and site-of-service 22 space that is used in conjunction with PCH and other University and community pediatric providers.

Responsibilities
Essential Functions
- Oversees physician templating/scheduling, patient access, and capacity management. Manages 8+ templating staff who support 12 pediatric subspecialty divisions and service lines. Keeps senior leadership apprised of issues and recommends and implements solutions as appropriate.
- Oversees/performs hiring, training, orientation, and professional development of the physician template design team. Works closely with operations managers over scheduling and referrals and the quality assurance team. Approves requests for time off ensuring no loss of productivity due to vacations or other absences. Ensures competencies through education and on-going staff performance evaluations.
- Guides the team in mission, vision and values which is to provide excellent services to our patients. Caring for children, caring for their future.
- Reviews statistical analysis and reports out on data related to employee workforce, using a variety of software tools including Excel, Access, and Tableau. Takes these data and recommends solutions to achieve adequate access compared to national benchmarks for patient access and capacity management.
- Promotes adoption of standard work and processes including scheduling workflows, adoption of technology, and training curriculum.
- Ensures patient and customer satisfaction by analyzing complaints, concerns and suggestions and provides appropriate and responsive action and follow-through.
- Meets with pediatric subspecialty division leadership and division chiefs routinely to discuss current operations and process improvements.
- Assists executive leadership with data and metrics related to policy decisions and scheduling initiatives.
- Mentors the template team lead to help them develop necessary skills to effectively lead their team.
- Acts as an integral part of improving processes of the electronic medical record system.
- Participates in University and Primary Children's Hospital committees to establish capacity management and patient access standards and assists in developing administrative plans and policies.
Minimum Qualifications
Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department's area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department.
Completion of provided supervisory training within one year of employment may be required.
Master's degree in a related area may be preferred.

Preferences
PreferencesPreference may be given to candidates with prior experience and demonstrated competencies in clinical operations leadership; provider and ancillary service scheduling and management in electronic medical record systems. Master's degree in a related area may be preferred.
