Description:
Under minimal supervision, provide day-to-day administrative and technical support of a highly complex nature to the Accounting & Budgets Director, direct reports, and associated nuclear projects personnel. Perform advanced, diversified, and confidential technical duties and special projects. Act in a leadership role and provide direction for complex projects and/or administrative personnel. Compose and initiate routine correspondence, memoranda, reports, and minutes. Resolve routine and complex inquiries. Enter data and maintain performance indicators. Prepare and administer budgets, lead meetings, and provide training.
Principal Accountabilities
NPGM Specific functions:
Attend Meetings (Staff and All Hands)
Record list of actions taken from meetings
Prepare meeting agendas.
Assemble daily meeting packages for NPGM and direct reports.
Action Tracking
Review AR/CR Report daily to ensure AR assignments are completed on time.
Provide reports/reminders to department personnel to ensure timely closure of AR actions.
Perform administrative duties for the NPGM and direct reports. Resolve issues/conflicts in the organization with little direction from management. Exercise discretion and independent judgment capable of analyzing the conflicting demands and make recommendations to management. Participate independently as a member of the management team. Assume responsibility for complex tasks assigned to the General Manager or direct reports to relieve them of administrative burdens.
Maintain schedules, and schedule meetings and training for NPGM and direct reports. Provide administrative support to NPGM and direct reports in areas including but not limited to the following:
Read/respond to correspondence.
Order office supplies
Workday - input Time and Labor, run reports.
Works with General Manager and direct reports to monitor and maintain department budgets.
Administrator for department credit cards. Includes tracking and authorization of payments and purchases [e.g., department safety shoe, safety glasses and database]. Monthly reconciliation of department credit accounts or monthly reconciliation of department credit accounts.
Administer travel program for the department, ensuring compliance with company policy and practices on booking and expense reimbursement.
Enroll personnel in training databases, as necessary.
Obtain, analyze, and act upon feedback from customers/suppliers to enhance communication among management, employees, and outside agencies.
Assist in obtaining access to Client for contractors, visitors, etc. Support in-processing efforts, including performing in-processing functions through SSIS.
In collaboration with managers and supervisors, assist with the preparation and processing of contracts within Construction and Project Management, Reactor and Major Maintenance, and Site Services.
Anticipate future needs of the department and collaborate with the General Manager, direct reports, and staff to implement changes/improvements as necessary.
Ensure qualifications are being met, refresher training is scheduled, and qualifications assignments are correct for those individuals within the NPGM organization. Assure safety meeting attendance. Attend training sessions as related to job skills.
Perform as a member of an Emergency Response Team (ERO) and in an outage assignment, when directed.
Assist in obtaining access to Energy Northwest for contractors, visitors, etc. Support in-processing efforts, including performing in-processing functions through SSIS.
In collaboration with managers and supervisors, assist with the preparation and processing of contracts within Construction and Project Management, Reactor and Major Maintenance, and Site Services.
Anticipate future needs of the department and collaborate with the General Manager, direct reports, and staff to implement changes/improvements as necessary.
Ensure qualifications are being met, refresher training is scheduled, and qualifications assignments are correct for those individuals within the NPGM organization. Assure safety meeting attendance. Attend training sessions as related to job skills.
Required Education and Experience:
Requires a high school diploma or GED with a minimum of five years of progressive administrative experience, including leadership responsibilities and independent decision-making authority.
Desired Education and Experience:
Associate or bachelor’s degree from an accredited college or university. A high school diploma and seven or more years of experience are typically required to perform at this level.
Required abilities and skills:
Familiar with Corrective Action Program and Action Tracking Process.
Familiar with Client records management processes.
Familiar with the control of proprietary documents.
Familiar with creating contract requisition/contract change request.
Familiar with managed service provider program and associated documents.
Ability to research, analyze and interpret data and develop solutions.
