About the Job
The Tax - Support Specialist & Receptionist role is a critical role in ensuring the smooth operation of our office. This individual will be the first point of contact for clients and visitors, providing a welcoming and professional atmosphere. In addition, they will assist with tax assembly and various administrative tasks to support our tax professionals.
This is a full-time position working in our Royersford, PA office. Typical work hours are Monday - Friday , 8 am - 5 pm. Overtime and weekend hours are needed during tax season (Jan - April). Summer hours offer paid Fridays off for our full-time team members. Responsibilities/Qualifications:Responsibilities include, but are not limited to:
Tax Assembly and Processing Support:
- Assist in the assembly and organization of tax returns and related documents.
- Ensure accuracy and completeness of assembled tax documents.
- File and maintain client records both physically and electronically.
- Coordinate with tax professionals to ensure timely completion of tasks.
- Prepare engagement letters and other client correspondence.
- Assist with processing tax returns and typing Forms W-2 and 1099.
Reception Duties:
- Greet clients and visitors with a friendly and professional demeanor.
- Answer and direct phone calls, taking messages as needed.
- Manage the reception area, ensuring it is clean and organized.
- Schedule and confirm client appointments.
- Handle incoming and outgoing mail and packages.
Administrative Support:
- Perform general administrative tasks such as data entry, photocopying, and scanning.
- Maintain office supplies and inventory.
- Prepare engagement letters and invoices.
- Create reports.
- Proofread documents.
- Assist with the organization of office events and meetings.
- Support special projects and initiatives as the office liaison for firm operations, as needed.
- High school diploma or equivalent; Bachelor’s degree is a plus.
- 3-5 years of work experience assembling, processing, or preparing individual and/or business tax forms.
- Prior experience working with accounting software such as QuickBooks.
- Previous experience in a receptionist or administrative role, preferably in a CPA or professional services firm.
- Must have a strong business acumen.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently and as part of a team.
- Motivated to grow and learn within a business tax and advisory services firm.
- Professional appearance and demeanor.
Preferred Education and Experience
- Demonstrated understanding of general accounting practices
- 3 years of prior experience working in a public accounting firm or other tax business assembling, processing, or preparing individual and/or business tax forms
- Prior experience working with CCH Axcess Accounting software (Document, Engagement, Tax Prep, Time Entry, etc.).
