Harvard Resource Solutions is seeking Talent and Human Resources Assistant on a contract to hire basis for their non-profit client in Troy, MI.
Hybrid, 2 days onsite 3 days remote.
Responsibilities of the Talent and Human Resources Assistant:
Team Coordination (40%):
- Manages the calendars of the Chief People Officer and Chief HR Officer, preparing materials for their meetings.
- Oversees team projects, ensuring tasks, meeting agendas, and deadlines are on track for events and special projects.
- Organizes THR department meetings, arranging locations, and distributing agendas and materials.
- Tracks important dates, deadlines, and events, advising the team on planning.
- Regularly reviews department goals and suggests ways to improve efficiency.
- Helps manage the budget by tracking expenses, monitoring allocations, and coordinating contracts.
Talent and HR Projects (35%):
- Archives employee Conflict of Interest and Code of Ethics forms.
- Prepares for Talent & Total Rewards Committee and Board meetings by:
- Scheduling meetings with Trustees and consultants.
- Compiling Board memos and materials.
- Proofreading and posting documents.
- Maintaining electronic Board documents.
- Supports staff communication and development by:
- Organizing company-wide events, training, and workshops.
- Managing team content on the intranet.
- Acting as the department's intranet representative.
- Assisting with staff assessments when needed.
General Administration (25%):
- Drafts and proofreads documents, and manages department contacts.
- Processes invoices as assigned.
- Arranges travel for team members.
- Handles filing, document management, and special projects.
- Creates forms, spreadsheets, presentations, and handouts.
- Prepares mailings and handles department mail.
- Orders office supplies and maintains stock.
- Coordinates with IT and Facilities to keep equipment running and the workspace clean.
- Provides support for organizing and scanning documents.
- Performs other duties as needed.
Qualifications of the Talent and Human Resources Assistant:
- High school diploma or associate degree, ideally with business or HR coursework.
- 5-7 years of experience in executive-level administrative support, preferably for senior executives.
- Strong confidentiality, attention to detail, and proofreading skills.
- Excellent communication and teamwork skills.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience with various software for managing expenses, budgets, and projects.
- Strong organizational skills, multitasking ability, and adaptability.
