Company Overview:
Our client is seeking an experienced and results-driven Talent Acquisition Operations Manager to join their team. This pivotal role is responsible for managing and optimizing the end-to-end talent acquisition processes and systems, including the applicant tracking system (ATS), recruitment marketing, emerging talent pipelining, and CRM strategy. The role will also involve managing process documentation, leveraging automation and AI tools, and ensuring the seamless integration of our ATS (Jobvite) and HRIS (UKG) systems. A strong focus on employer branding and candidate experience is also key to this role.
Key Responsibilities:
Talent Acquisition Systems Management:
- Own and manage the Applicant Tracking System (ATS) - primarily Jobvite, ensuring all processes are streamlined, efficient, and fully utilized to support recruiting needs.
- Collaborate with IT and HRIS teams to ensure effective integration between ATS (Jobvite) and HRIS (UKG), optimizing workflows, candidate data management, and reporting.
- Oversee and manage automation and AI initiatives within the recruitment process to enhance efficiency and candidate engagement.
Emerging Talent & Pipelining Strategy:
- Develop and implement a comprehensive strategy to attract, nurture, and engage emerging talent through CRM tools and pipelining strategies.
- Build and maintain proactive talent pools for high-demand roles and critical skill sets.
- Identify new sourcing channels and market trends to enhance talent pipelines for both active and passive candidates.
Recruitment Marketing & Employer Branding:
- Lead the development and execution of recruitment marketing campaigns to attract top talent, leveraging digital platforms, social media, and other innovative tools.
- Partner with HR and marketing teams to enhance employer branding and ensure a positive candidate experience from first contact through onboarding.
Process Documentation & Updates:
- Ensure that all recruitment processes, workflows, and best practices are well-documented, kept up-to-date, and communicated across the TA team.
- Regularly audit recruitment processes for continuous improvement opportunities and to ensure compliance with company policies and legal requirements.
Reporting & Analytics:
- Analyze recruitment data to identify trends, bottlenecks, and opportunities for process improvements. Provide regular reporting on recruiting KPIs, talent pipeline health, and system performance.
- Develop and deliver actionable insights to senior leadership regarding recruitment metrics, automation impact, and operational efficiency.
Collaboration & Stakeholder Management:
- Work closely with Talent Acquisition leaders, HR business partners, and hiring managers to align recruitment strategies with business needs.
- Provide training and support to the TA team on new tools, technologies, and best practices.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- 5+ years of experience in Talent Acquisition operations, recruitment technology, or related roles, with a strong understanding of ATS (Jobvite) and HRIS (UKG) systems.
- Expertise in leveraging AI and automation within recruitment processes for efficiency and improved candidate experience.
- Proven experience with CRM systems and pipelining strategies to manage emerging talent.
- Strong background in employer branding, recruitment marketing, and candidate engagement strategies.
- Exceptional process documentation and management skills, with a keen eye for continuous improvement.
- Ability to analyze data, generate insights, and create strategies based on metrics.
- Strong communication, project management, and stakeholder management skills.
- Knowledge of recruitment best practices, compliance, and relevant employment laws.
Preferred Qualifications:
- Certification or training in ATS/HRIS management (e.g., Jobvite, UKG).
- Experience in managing recruitment for a global organization.
- Familiarity with other recruitment technologies or tools (LinkedIn Recruiter, HireVue, etc.).
