About the Job
Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management.
Key Duties and Responsibilities
- Independently monitor attendance for learning communities and communicate with students and faculty to facilitate make-up sessions in a timely manner
- Collaborate across departments to determine best meeting times and send calendar invites to appropriate stakeholders for various concurring programs
- Update rosters and applicable faculty members regarding changes in students' enrollment, name, campus assignment, etc.
- Manage evaluation process for the learning communities by keeping faculty updated, creating student groups, sending out evaluations, and compiling results
- Complete room reservations on behalf of the faculty
- Coordinate catering services for medical education events
- Attend various meetings related to curriculum development and provide insight/updates into programs
- Support activities and serve as the point of contact for the Project AHEAD student planning committee
- Support all activities of Project AHEAD as needed
- Proctor exams when need arises (8am start time)
- Support the instructional design specialist in Examsoft with maintenance of assessment materials
- Assist with the recruitment, proofreading, and layout of newly acquired materials for the medical education pages of the Heersink School of Medicine website
- Fulfill whatever needs the office of service learning requires during ENRICH week and module events
- Register students pursuing a Distinction in Health Equity
- Other duties as assigned
Salary Range: %2418.35 - %2429.80
Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
Preferred Knowledge/Skills/Ability:
- Flexibility/Adaptability
- Computer skills in Word, Excel, and PowerPoint
- Strong interpersonal and organizational skills
- Exemplary communication skills, both written and verbal
- Able to quickly learn the use of curriculum management software
