AMBULATORY SERVICES MANAGER-SELMA

The Manager-Ambulatory Services role supervises clinical and clerical personnel: interviews, hires, schedules, evaluates performance, coaches staff to improve performance.
This position is located at UAB-Selma Family Medicine Residency Program.
Key Duties, Primary Responsibilities
- Updates clinic specific policies and procedures according to The Joint Commission (TJC) standards and ensures employee awareness.
- Submits all HR reports in a timely manner.
- Reviews employee job descriptions and competencies; updates as needed.
- Ensures staff meets and maintains yearly competencies.
- Conducts staff meetings at a minimum of one per month; documents attendance. Implements changes requested by physician leadership and administration in a timely manner.
- Monitors customer satisfaction: complaints are addressed and appropriately documented.
- Reviews press Ganey documents for any trends, developing action plans with physician and leadership involvement and implementation with staff.
- Builds, develops and maintains open relationship between department and clinic personnel.
- Monitors indicator trends and acts appropriately to resolve any issues.
Evaluates and improves clinic flow:
- Assigns staff to enhance patient flow.
- Problems are addressed and solutions implemented.
- Environment kept safe per standards.
- Manages time efficiently
- Supplies are available in appropriate quantity
- Reviews par levels as needed at least every 6 months.
- Works with other clinics to ensure patient flow and care is optimal.
- Maintains and ensures patient triage and/ or intake areas meet patient standards and workflow needs.
Assures clinic's fiscal responsibilities are met:
- Meets deadline set for budget submission.
- Monitors compliance with budget and acts on variance.
- Implements cost-reduction strategies for clinic.
- Assures medical leadership, administration/clinic director are aware of changes that will affect budget.
- Reviews trends related to staffing and acts on them appropriately.
- Monitors charge ticket entry and completion.
- Co-pays, pre-certs, referrals are maintained at least 95%.
- Assures all MSO policies and procedures are followed.
Communicates with staff/physicians:
- Meets with clinic medical director to address clinic issues.
- Schedules and directs staff meetings to relay important information and changes between physicians, UAHSF, administration, and clinical staff at a minimum of one per month.
- Documents meeting minutes and staff attendance.
- Completes documentation as communication for staff as needed.
- Completes weekly / biweekly huddle for communication.
Ensures performance is improved in clinic:
- Revision of PI plan as appropriate.
- Reviews benchmark performance both internally and externally and implement changes to impact patient care.
- Assists in clinical areas as needed.
- Completes tracers in assigned clinics as required.
- Completes and reviews 90 day plans as appropriate.
- Ensures medical record reviews/CQI tracking is complete.
- Accountable for developing and implementing a plan for achieving clinic dashboard goals and monitors monthly results.
- Discusses plans and opportunities with medical leadership and administration.
- Acts as liaison between staff and leadership.
Ensures educational activities of clinic are conducted:
- Fulfillment of responsibilities of appointment to committees, teams, etc.
- Ensures staff are cross-trained and oriented as appropriate.
- Ensures competencies and job descriptions are reviewed and updated as appropriate.
- Ensures appropriate new employees are trained and meet all required competences.
- Ensures that the requirements for accreditation and other regulatory agencies are met including, but not limited to, The Joint Commission (TJC) and state regulations. Adheres to safety regulations and continuous quality improvement/analysis reviews.
- Educates and ensures compliance with policies and procedures regarding departmental operations, including all regulatory agencies.
- Perform other duties as assigned
Salary Range: %2477,640 - %24126,170
Education
- Bachelor's degree in Nursing
- And five (5) years of related experience.
- Work experience may NOT substitute for education requirement.
- Current Alabama RN license required.
- Current Cardiopulmonary Resuscitation (CPR) certification required or must be obtained within thirty (30) days of employment. ACLS and/or PALS certification may be required based upon clinic need. If required, must be obtained within six (6) months of employment.
