About the Position

• Surgical Services Secretary
• Part-Time .5-.75 FTE (40-60 hours per pay period)
• Days, 10-hour shifts
• On-site at Grand Itasca Clinic & Hospital in Grand Rapids
• INTERNAL POSTING THROUGH: 4/12/2024

Job Summary:

The Surgical Services Secretary performs duties related to scheduling surgical procedures. They assist the Surgical Services Department with workflow and communication to provide a continuum of care for surgical patients.

Here's what you'll do when you join us:

• Schedule and coordinate cases/procedures in the Surgical Services department
• Prepare the daily OR schedule. Fill out staffing and on-call sheets, update the surgical board, and pickup/deliver mail.
• Assist staff in communicating admissions, transfers and discharges for surgical patients and for anesthesia providers.
• Enter Surgical Services case data into the STATS Excel workbook.
• Function as liaison between DSU and OR regarding patient flow.
• Ensure proper documentation is completed for scheduling surgical procedures and update form as needed.
• Assist the OR management team with block scheduling.
• Assist in communicating with vendors, GI departments and making calls to scheduled patients.
• Complete data review for monthly quality reports.
• Identify and prioritize equipment requests.
• Post the billing log.
• Schedule departmental meetings.

2. Strong commitment to patient and customer service.
3. Basic proficiency in Microsoft Excel.
4. Good communication skills.
5. Prior Surgical Services work related history preferred; previous healthcare experience required.
6. Great organizational skills.
7. Experience with surgical software program preferred.
8. Ability to follow and adhere to Grand Itasca's policies, vision, mission and values.
9. Maintain reliable and consistent attendance.
