About the Job
The Support Professional for the Department of Experiential Learning serves as the first point of contact for department programs and activities including, but not limited to, the Honors Program, Service Learning, and Study Away experiences. The person in this role must thrive in an environment dedicated to advancing experiential learning practices through supporting students, faculty, external entities and engagement with a wide range of internal stakeholders including Student Life and Conduct, GRCC Police, Financial Aid, Academic Advising, the department of Teaching, Learning, and Distance Education (TLDE), and Student Records. The Support Professional will possess acute attention to detail, proficient level of written and verbal communication, ability to manage several program-specific processes and procedures, assist with the coordination and facilitation of events, provide support to the Steven C. Ender Hall student spaces, ability to maintain multiple online platforms, and support multiple budget accounts.

ESSENTIAL FUNCTIONS
- Present a positive and professional image that expresses the College’s mission, vision, values, and strategic goals to the community, our students, visitors, and colleagues.
- Operate an efficient office, provide high-level administrative support, and serve as a first point of contact for the Department of Experiential Learning.
- Assist in the design, development, and implementation of department services and processes in all areas of Experiential Learning (GRCC’s Honors Program, Service Learning, Study Away) as well as College Sponsored Student Travel processes according to College policy.
- Obtain information to facilitate Experiential Learning processes, including but not limited to: Honors Program application information, integration into honors-specific systems and platforms, student registration and processing of scholarships and stipends, tracking of honors project proposal and completion, overall tracking of honors student participation; Service Learning course registration information and tracking of service learning completion; Study Away application information and tracking of student paperwork and payments, tracking of Leave of Absences related to College Sponsored Student Travel and risk management information as well as end-of-semester faculty recognition.
- Work collaboratively with areas of the College who support the Department of Experiential Learning, specifically Student Financial Services, Financial Aid, Registrar, Academic Deans’ Offices and Departments, Teaching, Learning, and Distance Education (TLDE), UofM Transfer Bridges, Student Life and Conduct, Admissions, GRCC Foundation and the Support Professionals who report to other offices within Instructional Support.
- Maintain online platforms and/or tools used to support student engagement and processes such as G-Suite, Mailchimp, PeopleSoft, Blackboard, Cadence, Calendly, and MyGRCC.
- Support honors course scheduling and student registration.
- Assist in the coordination of and actively participate in department events, functions, and committee meetings, including space planning and room scheduling, ordering food, preparing meeting materials, and recording minutes. Provide similar support to other College programming scheduled within Ender Hall.
- Monitor all department budget accounts related to GRCC’s Honors Program, Service Learning, Study Away, and UofM Transfer Bridges finances, including processing invoices, auditing accounts, reconciling all expenses based on anticipated versus actual costs, reconciling department credit card and preparing ProCard Reports, account and budget transfers and journal entries.
- Acquire contracts and/or travel agreements from faculty leading study away trips and collaborate with the appropriate College offices (General Counsel and Finance and Administration) to vet and approve.
- Acquire College Sponsored Student Travel forms and create complies for our department’s archiving purposes as well as copies for Campus Police.
- Support students with navigating and setting up their online payment accounts for study away trips. This includes becoming familiar with trip-specific payment platforms and reminding students of payment amounts and deadlines.
- Serve as web content editor for the Department of Experiential Learning websites ensuring web pages meet institutional standards and that stakeholders are easily able to get the information they need.
- Manage the GRCC Honor Program eNewsletter (Honors Herald). This involves securing our membership to Mailchimp, ensuring honors stakeholders are registered, collecting and curating content, weekly delivery and monitoring data analytics.
- Work collaboratively with other offices within Ender Hall to provide oversight of the first floor, including staffing the reception area, overseeing student staff members, and maintaining the security of the building and assets.
- Ensure office area has adequate stock of promotional materials and office supplies.
- Work closely with Facilities to ensure space is maintained.
- Maintain discretion when dealing with sensitive and/or confidential information, and maintain records and office activities in strict confidence.
- Assist in making appropriate travel arrangements for department stakeholders as needed.
- Greet faculty, visitors, students and other members of the College and community and respond appropriately to requests made in person, via telephone, e-mail or other social media from individuals regarding the College.
- Be timely when responding to voicemail, email, text messages, and telephone requests daily; acting on student and staff requests.
- Participate as a member of College, Divisional, and Departmental teams or committees as requested or as mutually agreeable.
- Interview, select, train, evaluate, and supervise student employees as needed.
- Prioritize work effectively to ensure that tasks are completed within assigned deadlines.
- Actively engage in professional development activities that reinforce existing skills and result in greater knowledge and efficiency in assigned work. This might include best practices in Honors education, knowledge of service learning and GRCC faculty/staff participation in service learning co-curricular activities, and knowledge of study away best practice including proposal development and approval, student support and overall risk management.
- Maintain and order adequate office supplies, check stock etc. as needed for the department.
- Collect, track and maintain information relating to College Sponsored Student Travel. Work with campus police to ensure Student Risk Management forms are properly received and archived.
- Regular attendance during scheduled hours is required. Being present is essential for performing the essential functions of this position.

JOB SPECIFICATIONS
Education Credentials
- Associates degree or comparable combination of relevant education and experience required
Work Experience
- A minimum of three years of administrative assisting or office support is required.
- Experience in event planning is preferred.
- Experience in a higher education setting is preferred.
Skills
- Demonstrated expert knowledge and extensive software application experience. Specifically, MS Word, Excel, Microsoft Office Suite, G-Suite, PeopleSoft, Blackboard, Cadence, Acuity, and MyGRCC.
- Ability to work under pressure with many interruptions in a busy, student-centered environment.
- Adapt to changing technologies and responsibilities.
- Must be punctual and have a good attendance record. Be flexible in schedule to allow for changes during the semesters, in accordance with busy periods.
- Must enjoy working with the public and possess good oral and written communication skills.
- Attend professional development conferences, seminars, workshops and webinars to stay abreast of current regulations, trends and best practices in experiential learning.
