Job Summary
The Supervisor – Vendor Support is key leadership role and is responsible for leading a team of Vendor Support Specialists who manage all aspects of vendor management, including utility activations/deactivations, landscaping services, snow removal, cleaning services, and more. The Manager of Vendor Support plays a critical role in ensuring the efficient operation of our single-family rental properties by overseeing vendor relationships, coordinating services, and ensuring high standards of quality and customer satisfaction.
Duties and Responsibilities
- Supervise and mentor a team of Vendor Support Specialists, providing guidance, support, and
- performance feedback.
- Set clear goals and expectations for the team and monitor progress towards achieving objectives.
- Develop and maintain strong relationships with vendors, including utility companies, landscaping contractors, snow removal services, and cleaning companies. Stay informed about relevant laws, ordinances, and HOA guidelines affecting our properties and ensure compliance.
- Negotiate contracts, service agreements, and pricing terms with vendors to ensure cost-effective solutions and high-quality services.
- Monitor vendor performance and address any issues or concerns in a timely and professional manner.
- Coordinate utility activations and deactivations for rental properties, ensuring seamless transitions for incoming and outgoing residents.
- Monitor utility usage and expenses, identifying opportunities for cost savings and efficiency improvements.
- Oversee landscaping services for properties, including lawn care, tree maintenance, and seasonal clean-up.
- Coordinate snow removal services during winter months, ensuring safe and accessible pathways for residents.
- Manage cleaning services for rental properties, including regular cleaning schedules and turnover cleaning for vacant units.
- Ensure cleaning standards are met or exceeded to maintain high levels of resident satisfaction.
- Facilitate the onboarding process for new vendors, ensuring they understand our expectations, standards, and procedures.
- Provide training and support to vendors as needed to ensure they deliver quality services in accordance with our requirements.
- Implement quality assurance measures to ensure vendors adhere to service level agreements and meet our standards of quality and performance.
- Conduct periodic inspections and audits of vendor services to identify areas for improvement and address any deficiencies.
- Assist in the development of annual budgets for vendor-related expenses, including utilities, landscaping, snow removal, and cleaning services.
- Monitor expenses and variances against budgeted amounts, identifying opportunities for cost control and optimization.
- Maintain accurate records and documentation related to vendor contracts, service agreements, and performance metrics.
- Prepare regular reports for senior management, providing insights into vendor performance, expenses, and trends.
- Continuously evaluate existing processes and procedures related to vendor management, identifying opportunities for streamlining and efficiency improvements.
- Implement new tools, technologies, and workflows to enhance the effectiveness of the Vendor Support team and optimize vendor relationships.
Qualifications
- Experience in setting long-term goals, identifying key initiatives, and allocating resources effectively.
- Experience in leading and managing organizational change initiatives, including process improvements, technology implementations, and structural transformations.
- Proven track record of driving operational excellence, process optimization, and performance improvement initiatives.
- Current driver’s license and automobile insurance
Education and Experience
- Bachelor’s Degree in Business Administration, Real Estate Management, Project Management, or a related field, preferred.
- Minimum of 5 years of experience in residential property management, Vendor management or related, with extensive experience in leadership and strategic management roles.
