Job Summary:
Duration of contract: Temp to hire
Expected hours per week: 40 hours per week.
Onsite/Hybrid/Remote: Remote
SUBCONTRACT ADMINISTRATIVE ASSISTANT
QUALIFICATIONS:
Associates degree with minimum 2+ years of experience in defense contracting, subcontract administration assistance, procurement assistance, and proposal preparation for a government contractor. Equivalent professional experience in purchasing, subcontract, or contract administrative assistant experience may be substituted in lieu of education.
Experience in Federal Construction projects is preferred.
Provides technical and clerical support to the workforce, coordinating with different parties to help execute and maintain subcontracts.
Tracks Letter Subcontracts, proposals, and Master Subcontracts expiration dates.
Maintains CPSR and company-compliant filing system.
Performs Vendor Set Ups.
Obtains and maintains vendor certifications and proposal documentation.
Assists in proposal preparation.
Performs invoice reconciliation.
Performs subcontracts close-outs.
Enters Purchase Orders in Costpoint.
Maintains subcontract files in P Portal.
Maintains complex project controls, filing, and corresponding subcontract
administration required record keeping.
Performs other responsibilities associated with this position as may be appropriate.
SKILLS/COMPETENCIES:
• Proficiency in MS Office with Microsoft Word, PowerPoint and Excel.
• Proficiency in Deltek Costpoint and SharePoint.
• Ability to analyze and revise operating practices to improve efficiency.
• Detail oriented and comfortable working in a fast-paced office environment.
• Exceptional oral and written communication skills.
• Superior organization skills and dedication to completing projects in a timely manner.
• Demonstrated experience in managing complex file structures, organizing project documentation, and maintaining required project controls.
