JOB SUMMARY
The Purchasing Coordinator is responsible for the execution, coordination, and oversight of the administrative purchasing and inventory planning functions, the purchase order creation process, and the inventory control of raw materials, equipment, and supplies. This position is also responsible for maintaining current documentation regarding the purchasing system and procedures, in addition to, monitoring inventory and safety stock levels in conjunction with dollar values to maintain proper inventory levels. The Purchasing Coordinator will also work closely with inter-departmental teams, including but not limited to, Department Heads, Program Managers, Sales Team, Schedule Coordinator, and Plant Manager, to execute and release purchase orders, coordinate deliveries, and provide effective communication on the ETA of material.
EDUCATION AND EXPERIENCE
Required:
High School Diploma or G.E.D. certification, plus 3 years applicable experience to include procurement, supply chain and materials, or inventory control. Experience working with vendors and internal customers required. Experience with Global Shop/ERP software a plus. Must have a valid Texas Operator’s License, Class C.
Preferred:
Associate Degree or Bachelors’ Degree from an accredited university, in Business, Supply Chain Management or related field, plus 2 years industry related experience. Purchasing experience in a manufacturing environment.
QUALIFICATIONS
As a Purchasing Coordinator, the ideal incumbent possesses the following qualifications:
- • Knowledge of steel tubular pole structures and shop operations
- • Proficiency in Microsoft Office products and databases, such as, Word, Excel, PowerPoint and Access
• Skill in strong negotiations, decision-making, and analytical skills
• Ability to execute and understand the complete purchasing process
• Ability to develop effective working relationships with vendors, suppliers, and team members
• Ability to work independently or as part of a team and manage multiple projects simultaneously with conflicting priorities
• Ability to demonstrate dependability and attention to detail
• Ability to communicate at all levels both oral and in writing to internal and external customers, vendors and suppliers
• Ability to demonstrate effective conflict resolution skills
• Ability to work well with minimal supervision
• Ability to perform a variety of physical skills, including but not limited to, seeing, hearing, speaking, walking, bending/stooping, pushing/pulling, lifting up to 25 lbs., walking on uneven terrain, reaching, and grasping
• Strong work ethic, goal-oriented, and a positive attitude
RESPONSIBILITIES
1. Maintaining purchase order data, in addition to, preparing purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; and, obtaining approval from requisitioning departments.
2. Assisting in securing and analyzing quotations; as well as, negotiating prices and terms with suppliers.
3. Following up on orders to ensure that materials are shipped and delivered on promised dates, in addition to, tracing delinquent arrivals from Purchase Orders and notifying department managers concerning delays or backorders
4. Assisting in managing weekly order status reporting and maintaining records and follow up files of purchases, shipments, and related matters
5. Verifying receipt of items by comparing items received to items ordered; resolving shipments in error with suppliers; and, authorizing payment for purchases by forwarding receiving documentation
6. Assisting in reviewing and resolving supplier invoice discrepancies; maintaining files of descriptions of available supplies; and, assisting with the analysis of sales order releases with respect to capacity planning and material requirements
7. Perform other duties as assigned.
