Staffing Coordinator Job Description
Requirements to be a Staffing Coordinator are as follows:
- Must be certified as a CNA, NA, or PCA.
- Must be at least 22 years of age.
- Documentation of positive work history as evidenced by at least two work references on file.
- Must maintain an acceptable driving record of at least 2 to drive a company vehicle and/or do transports.
- Maintain a Valid Driver’s License.
- No Criminal History Record.
Staffing Coordinator shall report to the Agency Manager, Corporate Manager, and Executive Director.
Staffing Coordinator is responsible for assisting with all aspects of the agency in day-to-day operations regarding:
- Read, comply with and refer to the Medicaid manual (DMAS), VDH regulations, and AmeriCare Plus company policy and procedures.
- Comply with EVV requirements and policies.
- Comply with OSHA and Biohazard requirements.
- Corporate, DMAS and VDH audits and inspections.
- Complete all paperwork per regulations required by Medical Assistance Services, Virginia Department of Health and any other governing/regulatory agency and per company policy.
- Comply with company computer guidelines and attend company training as required.
- Ensure the general wellbeing and health of the agency.
- Work in conjunction with the corporate office to meet budget expectations.
- Complete per company policy/procedures all new admission paperwork for private pay clients and submit within established time frame.
- Complete per company policy/procedures new admission paperwork for all Medicaid clients in conjunction with RN. Submit paperwork within the established time frame.
- Complete and submit discharge paperwork for Medicaid and private pay clients in the established time frame.
- Completion of all required reporting to the Corporate Office per deadlines.
- Completion and verification of billing for both Medicaid and Private Pay. Ensure that all billing is sent to the Corporate Office, both correctly and according to strict deadlines.
- Completion and verification of payroll, making sure all employees have turned in aide records that are both correct and accurate as to the dates worked and duties performed. This responsibility is related to overseeing that monthly schedules are complete and correct.
- Oversight of LPN/RN’s, Quality Assurance Coordinator, and direct care/field staff.
- Following the company hiring process and disciplinary procedures for employees.
- Conducts employee orientation and training per company procedures.
- Oversee the staffing of customer service hours and scheduling of aides for the agency 24 hours, 7 days per week.
- Supervision of LPN/RN’s, Quality Assurance Coordinator, and direct care/field staff.
- Attend a minimum of 12 hours of annul in-service training and corporate training meetings – Some meetings/training require mandatory attendance.
- Share on-call responsibilities.
- Ordering and cost of office supplies and other agency expenses.
- Marketing of agency in and around the community for clients, staff recruitment, and agency services.
- Coordinate special events and community service projects.
- Request from the corporate office any advertisement needed for help wanted, PCA Class participants, flyers and other materials for marketing.
- Assisting Corporate office with collections.
- Coordinate special events and community service projects.
- Is the person in charge of the agency if the Agency Manager is not available.
- Work together with company managed assisted living facilities when applicable, and,
- And any other duties as assigned.
Benefits

Sick/PTO
- Sick Time must be for employee only (no spouse, children, etc.).
- Sick time must be accompanied by a doctor’s note.
- Sick/PTO will be earned at the rate of 8 hours per month (28-31 days), not to exceed 80 hours per year.
- Un-used earned Sick/PTO hours may be used the following year as necessary, however, no more than 80 hours will be paid in any one year; and, only 40 hours per year can be used as PTO time.
- Sick/PTO eligibility may not be accrued as a cash benefit and eligible Sick/PTO leave hours remain unpaid at termination of employment.
- When an Agency Coordinator is sick, the Vice President of Operations must be contacted DIRECTLY via phone - no one is allowed to pass a message on; text a message or fax a message on Agency Coordinator’s behalf.
Vacation
- Determined by eligibility and is not earned.
- Paid at the average wage paid during preceding year and only after a full year (365 days) and or 2080 regular hours have been worked.
- Eligible vacation time is not cumulative; any balances will be lost when the next vacation eligibility occurs.
- Un-used vacation balance may not be accrued as a cash benefit and any vacation balance will remain unpaid at termination of employment.
- Vacation requests must be made in writing 14 days in advance and submitted for approval to the Agency Manager.
- Vacation time may not be taken during a notice period, employee probation period, major holidays, scheduled inspections, scheduled training, or when the office is short staffed.
- No more than 5 working days (40 hours) may be taken at a time; and,
- After 2-year intervals of continuous full-time employment (employee may not have been placed on suspension or probation), an additional 8 hours of vacation time will be added. Ten working days (80 hours) will be the maximum allowable vacation time for eligible employees.

- The Staffing Coordinator is expected to work a minimum of 40 hours per week and as necessary to fulfill the terms of contract.
- The office should be open from 8:30 AM to 5:30 PM, Monday – Friday and weekends as necessary.
- On-call time is paid only for the actual amount of time employee was on-call during a pay period; and,

Evaluations
- Employees will have an evaluation completed upon reaching their hire
- Any employee who has been receiving disciplinary action or has been on suspension or probation may have an evaluation completed sooner than an anniversary period to see if employee has made improvements and may continue employment with AmeriCare Plus; and,
- Having an evaluation completed does not guarantee a pay increase.
Confidentiality
- Employees are not to discuss their clients or details of their client’s or details of their client’s care with anyone else (i.e.: employee family members, client visitors, co-workers) outside of the AmeriCare Plus office staff; and,
- Agency records are legal documents and HIPAA protected and must be kept private.

- Abuse of any client (verbal or physical) and or willful neglect of a client’s safety will not be tolerated.
- Employees shall not use or possess alcohol or drugs while on the job or come to the office for any reason while under the influence.
- Employees are not to use curse words, offensive, abusive, or derogatory language to clients, co-workers, visitors, or supervisors.
- Employees may not show disrespect to supervisors or clients.
- Employees are not to accept any gifts or money from a client or their family members.
- Employees are not allowed to take food or supplies of any sort from the client, their family or the office.
- Employees are not to falsify any records or documentation.
- Dishonesty of any sort will not be tolerated; and,
- No criminal history or subject to any criminal investigation prior to or during employment.
