Staff Assistant III (NEX) - Chief of Ob-Gyn - Thomas Jefferson University & Jefferson Health

Under the supervision of the Chief of OB-GYN the Staff Assistant III supports the Department Director and other managerial staff in the department. The Staff Assistant III is responsible for coordination of administrative and clerical activities of the business offices.

Essential Functions:

• Meets all standards of the Department of OB-GYN and Chair’s Office in order to make Abington – Jefferson Health (AJH) the hospital of choice for OB-GYN Patients and Employees.
• Provides administrative and secretarial support services to the Chair and other managerial staff to facilitate effective and efficient departmental operations.
• Develops and administers records management practices for the department and to facilitate effective, efficient and accurate handling of documents and other records. Maintains employee files and keeps an accurate record of credentials to ensure compliance with Medicare and the Joint Commission regulations and federal/ state laws.
• Maintains effective and accurate communications and documentation between administrative staff and individuals, both internal and external to the hospital, utilizing departmental and hospital policies and procedures to ensure information is disseminated appropriately.
• Handle day-to-day activities of the department to include CME, Conference schedules, to include taking minutes and disseminating meeting materials.
• Serve as Clerkship Coordinator for medical students / sub-I’s for OB-GYN education office
• Serve as payroll coordinator; MyTime keeper
• Performs other related duties as assigned.

EXPERIENCE AND EDUCATION REQUIREMENTS:

• 5+ years’ secretarial experience in healthcare field.
• High school diploma or equivalent required; Secretarial training, Associate or Baccalaureate business degree preferred.
