Overview
The Caine College of the Arts (CCA) Dean's Office is seeking applications for Staff Assistant III position on the Logan campus. The Staff Assistant III position performs a variety of administrative support and/or secretarial duties for the college.
Responsibilities
25% Receptionist and Office Support
Answer phone calls and route appropriately, greet visitors, sort mail, collect checks for CCA Business Services, make copies, scan documents, keep office supplies current, update and distribute directories, send college-wide emails to students or faculty/staff as requested, attend Scholarship University trainings and answer student questions about scholarship process.
20% Caine Scholars for Excellence program
Working under the direction of the Associate Dean of Student Development in overseeing the logistics of the Caine Scholar activities. Manage Canvas page for Caine Scholars, update calendar with events and meetings and post announcements about upcoming meetings, record attendance. Attend the biweekly meeting and take attendance and assist the mentors with the meeting by scheduling the venues and coordinate catering. Take initiative to ensure a high-quality experience for students following the mission of the program. Assists with the yearly selection and scholarship awarding process. Assist with the planning of and accompany the students and faculty on the annual study travel experience. Travel and after-hour assignments are required components of this position.
Maintain database of current and former students and assist in efforts to connect with Caine Scholar alumni and engage them with current students.
15% Assist with Differential Tuition and Visiting Artists and Scholars Programs
Working with the Associate Dean for Student Development; prepare and distribute Annual RFPs; coordinate review committees; schedule meetings; collect proposals, review for clarity, and upload to Box; create tracking spreadsheets; attend and take notes on meetings; draft and send award letters; post results on website; follow up with faculty and administrators as needed throughout process.
Making sure that equipment and upgraded classrooms that are purchased using Differential Tuition funds are tagged.
10% Staff Support for Associate Deans
Manage calendars, schedule meetings and interviews, assist with various projects as requested.
10% Manage College Website
Serve as college contact with IT website team, keep events page and other content current, update directories and deadlines, prepare content for posting and sent to IT website team, read college and department websites and communicate with constituents if content if inaccurate or outdated.
5% Faculty and Curriculum Support
Manage Digital Measures, IDEA course evaluation system, Curriculog, and course schedule for CCA-prefix courses.
5% Event Support
Assist with and provide support for college events. Requires travel and some weekend and evening work.
5% Student Travel Support
Assist travel specialist during peak volume periods.
5% Other Duties as Assigned
Qualifications
Minimum Qualifications:
Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.
Preferred Qualifications:
- Familiarity with USU databases, processes and procedures.
- Experience in and understanding and appreciation of the arts.
Knowledge, Skills, and Abilities:
- Skilled with computers and related software.
- Skilled with basic office equipment, including printers, copiers, and telephone systems.
- Good organizational skills.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential business data and personal information.
- Ability to work without supervision.
- Knowledge of University policies and procedures.
- Excellent customer service skills.
