Job Title: Staff Accountant
Job Summary: The Accountant will be responsible for maintaining financial records, preparing financial reports, and ensuring the smooth financial operation of the HOA. This role involves managing accounts payable and receivable, preparing budgets, handling payroll, and ensuring that all financial practices are in compliance with legal and association regulations. The ideal candidate will have strong accounting knowledge, attention to detail, and the ability to communicate effectively with HOA board members and homeowners.
Staff Accountant Key Responsibilities:
- Manage and maintain the financial records of the HOA, including general ledger maintenance and reconciliations.
- Prepare monthly, quarterly, and annual financial statements and reports for the HOA board.
- Oversee accounts payable and receivable processes, ensuring timely collection of dues and payment of invoices.
- Prepare budgets, forecasts, and variance reports to help the HOA board in planning and decision-making.
- Process payroll and ensure compliance with tax regulations.
- Assist in the preparation for audits, ensuring financial documentation is organized and accessible.
- Handle homeowner billing and inquiries related to assessments, fees, and other charges.
- Maintain records of vendor contracts and expenses, ensuring all contracts and payments are in compliance with association policies.
- Reconcile bank statements and manage cash flow to ensure sufficient liquidity for HOA operations.
- Support the board during annual budget reviews and meetings by providing clear, accurate financial data.
- Ensure compliance with local, state, and federal financial regulations applicable to HOAs.
Staff Accountant Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- 2-4 years of accounting experience, preferably within a property management or HOA setting.
- Proficiency in accounting software (e.g., QuickBooks, Yardi, or similar) and Microsoft Excel.
- Strong understanding of GAAP (Generally Accepted Accounting Principles) and relevant tax laws.
- Excellent analytical and problem-solving skills.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- High level of integrity and attention to detail.
- Experience with HOA-specific financial management software is a plus.
