About the Job
GENERAL PURPOSE:
The Faculty Affairs Manager serves as the primary agent to organize and administer faculty affairs policies and programs within the Provost’s Office. These duties include organizing committees for faculty promotion and tenure, administering the Faculty Senior Associate program and organizing other faculty and retired faculty benefits, publicly disseminating faculty- related policies on the Provost’s Office website and in other venues, and serving as a resource on faculty-related issues for the seven School-based faculty affairs officers. The Faculty Affairs Manager also advises others in the Provost’s office (including the Provost and Vice Provosts) and in the Schools (including Deans and their staff) on issues related to the content and administration of faculty affairs, ensuring appropriate maintenance of faculty rights and responsibilities.
**RESPONSIBILITIES:**
**Faculty Promotions, Appointments/Reappointments, and Tenure Processes:**
Organizes the confidential process to investigate and present faculty candidates for promotion and reappointment to the Provost or to the Board of Trustees on behalf of the Provost. Works closely with the Vice Provost for Faculty Affairs to identify, confirm, appoint and track ad hoc committee members for 20-25 different ad hoc and standing committees related to faculty tenure progressions. Initiates, coordinates, reviews, collaborates on, and distributes highly confidential faculty appointment documents. Maintains highly confidential data and documents requiring meticulous attention to detail, as well as strict adherence to all policies and procedures. Serves as a resource for questions regarding the tenure policies and processes.
**Board of Trustee Resolutions:**
Initiates, researches, and presents resolutions from all academic units to the Board of Trustees for approval including department name changes and the creation of named professorships. Receives the resolutions, compiles, and evaluates background documentation for Board approval. Compiles the Personnel Actions document for all appointments, appointment changes, promotions for faculty from all schools.
**Faculty career progression:**
Supports faculty processes related to career progression. Provides information to faculty and administrators about retirement options, including by working with UR Communications to update webpages. Calculates benefit
rate for faculty considering entry into the Faculty Senior Associates Program (FSAP). Tracks faculty status and produces all personnel action forms to initiate, terminate and change payment levels for participants. Manages notification process for benefit level changes and collects official documentation related to these changes. Tracks all financial aspects of retirement options including monthly charges and annual budget and forecast projections.
**Academic Leaves:**
Manages the Academic Leaves program (including Bridging Fellowships) for all schools. Initiates the call for Leave of Absence requests, assembles and reviews all requests for completeness, prepares all requests for final review by the Provost. Tracks all financial aspects of the program including monthly charges and annual budget and forecast projections. Works with other members of the Provost’s Office and the Faculty Affairs Officers at the schools to develop and maintain efficient processes for requesting and tracking leaves.
**Faculty Data and Documentation:**
Serves as a data steward and data manager for Faculty Data. Creates, maintains, documents, and updates data on a variety of platforms including the Faculty Information System (UR Faculty) and HRMS/Workday HCM. Works with Faculty Affairs Offices, HR, and University IT to improve data quality and data processes. Creates and distributes reports based on faculty data. Creates, maintains, updates, and organizes electronic files related to Provost’s Office processes.
**Faculty Searches:**
Tracks faculty searches for upcoming fiscal years. Maintains data on current and future searches. Works with other members of the Provost’s office who use tracking information for planning purposes.
**Backup:**
Cross trains with the Faculty Events Manager and the Faculty Information System Manager to provide coverage of basic services during absences, vacations, and periods of high demand.
**Process Revisions:**
Works closely with the Associate Vice Provost for Academic Initiatives to review and redesign faculty affairs processes to make them more sustainable and efficient.

**QUALIFICATONS:**
+ Bachelor’s degree or equivalent combination of education and experience required.
+ 3 years of related work experience including at least 1 year in an administrative capacity in an academic office or project management, or the equivalent experience in business required.
+ 5 years of related work experience including at least 2 years in an administrative capacity in Faculty Affairs preferred.
+ Excellent communication skills and attention to detail. MS Excel and other MS office products. Adobe Acrobat Pro required.
+ Interfolio, HRMS and Workday skills preferred.

**Pay Range**
Pay Range: $75,650 - $113,464 Annually
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
