The Sr. Executive Assistant is responsible for the development of administrative tasks, generates and provides maintenance to files and reports, writes correspondence, requests various forms, assists internal and external clients. Administers messages and telephone calls. Purchases and generates travel agendas. May provide administrative support to management team.
DUTIES & RESPONSIBILITIES
Under limited supervision and in accordance with all applicable federal, state and local laws/regulations and Corporate Johnson & Johnson, procedures and guidelines, this position:
• Creates and provides maintenance to files containing information from the assigned department.
• Creates reports, graphs, and presentations.
• Has control over his/her area of the Appreciation Program.
• Makes trip arrangements and reservations.
• Complies with the finance's procedures for travel expense reports.
• Is responsible for the handling of mail.
• Manages the use of the meeting rooms.
• Responsible for communicating business related issues or opportunities to next management level
• For those who supervise or manage a staff, responsible for ensuring that subordinates follow all Company guidelines related to Health, Safety and Environmental practices and that all resources needed to do so are available and in good condition, if applicable
• Responsible for ensuring personal and Company compliance with all Federal, State, local and Company regulations, policies, and procedures
• Performs other duties assigned as needed• A high school diploma is required; A bachelor's degree is preferred
• A minimum of 6 years administrative experience
• Proficiency in using office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Customer and employee focused and able to work under minimal supervision is required.
• Excellent verbal and written communication skills, with a meticulous eye for detail is required.
• Strong organizational and time management abilities, with the capability to manage multiple tasks simultaneously is required.
• Must have the ability to handle confidential information with discretion and maintain a high level of professionalism.
• Must be adaptable, proactive, and resourceful, with a problem-solving mindset.
• Must have exceptional interpersonal skills and the ability to interact effectively with individuals at all levels of the organization.
• Must have a high level of integrity and professionalism.
The anticipated base pay range for this position is $62,700 to $101,200. This position is overtime eligible.
