About the Job
The Office of the Dean is seeking a highly skilled and experienced Senior Administrative Assistant to provide administrative support to the Deans at the women’s college of HTC. The successful candidate will play a crucial role in ensuring the efficient operation of the Deans’ office, managing administrative processes, and facilitating effective communication within the university community.
Responsibilities:1.
Calendar Management:
· Coordinate and manage the Dean's schedule, including appointments, meetings, and events.
· Prioritize and schedule appointments, ensuring optimal use of the Dean's time.
2.
Communication and Correspondence:
· Serve as the primary point of contact for internal and external inquiries directed to the Dean's office.
· Draft and edit correspondence, reports, and other documents on behalf of the Dean.
3.
Meeting Coordination:
· Organize and coordinate meetings, conferences, and special events.
· Prepare meeting agendas, attend meetings, and document minutes as needed.
4.
Travel Arrangements:
· Make travel arrangements for the Dean, including booking flights, accommodations, and coordinating logistics.
5.
Data Management:
· Maintain and update confidential records, databases, and files.
· Generate reports and presentations as needed.
6.
Special Projects:
· Assist in special projects and initiatives as assigned by the Deans.
· Conduct research and gather information to support decision-making processes.
Degrees
- Bachelor's degree in business administration, communications, or a related
Skills
- Proven experience as an administrative assistant or in a similar role, preferably in an academic
- Exceptional organizational and multitasking
- Strong written and verbal communication
- Proficiency in Microsoft Office Suite and other relevant
- Ability to handle sensitive information with discretion and maintain
- Excellent interpersonal skills and the ability to work effectively with diverse
- Ability to solve complex problems and meet deadlines.
