The Sr Administrative Assistant will perform complex administrative duties to include scheduling calls, meetings and coordinating travel, processing expense reports, composing correspondence, coordinating resources across corporate functions, along with handling various administrative details with initiative and good judgment.
In this role, you will:
- Coordinate necessary travel arrangements and process travel expense reports via Concur and prepare reimbursement reports as requested
- Schedule meetings (internal/external to the organization) conference calls, teleconferences and web seminars as requested
- Maintain Outlook calendars, schedule meetings, video conference calls, and email as assigned
- Prepare reports for company activities as required
- Perform a wide variety of duties such as, composing correspondence, preparation of forms, charts, schedules, and presentation materials as needed
- Establish and maintain confidential and operational files for the Executive Team and maintain confidential and operational files as requested
- Maintain distribution lists and updates organizational charts
- Maintain offices space assignment charts and helps onboard new hires
- Maintain adequate supplies and orders special supply requests, as needed
- Need to be flexible in supporting any office projects needing extra attention due to specific deadlines
EDUCATION & EXPERIENCE:
- Four to five years of administrative experience is required, including at least one year in a healthcare organization (appropriate education may be substituted for experience).
- Knowledge of general management principles
- Knowledge of organizational policies, procedures, and systems
- Ability to work in a fast paced, high stress environment
- Strong interpersonal, communication, and organizational skills
- High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint
