As a Regional Facilities Specialist, you will be responsible for managing the day-to-day facilities related activities for a number of mixed-use centers within one of our four regions across the US. The facilities range in size and function from 500SF to 300KSF and include both corporate and industrial space. You will interact and collaborate with all levels of the Kyocera Organization that occupy your assigned buildings. Buildings are a mix of leased and owned facilities. Your primary responsibility is to ensure Kyocera employees have a safe and comfortable experience when they come to work.

Responsibilities:
Major Duties and Responsibilities:
+ Conduct regular inspections of the core structure of the buildings within the Region to determine what repairs, maintenance, and renovations are needed. Provide this information to senior management in a comprehensive manner so approval can be determined easily.
+ Secure and review proposals from vendors for various services for senior management’s review/approval. Vendors include but are not limited to Janitorial Services, HVAC, Security, General Contractors, Pest Control, Landscaping and Hardscaping, Electrical, Plumbing, and other required trades.
+ Coordinate and monitor all vendor activities to ensure compliance and safety with contracted services. This includes overseeing site preparation, installations, refurbishments, and employee notifications.
+ Act as the main point of contact with landlords and ensure Kyocera receives excellent service as defined in the lease agreements. When issues arise with a leased facility in the assigned region, perform front line management of the issue and resolution.
+ Manage the upkeep of equipment and supplies to meet health and safety standards.
+ Manage waste disposal process and compactors contained within our facilities including our regional warehouses.
+ Coordinate and manage any/all approved internal office relocations of personnel, furniture, and workspace redesign.
+ Provide support and work directly with local Townships, Cities, and State Regulatory Agencies as it relates to building, fire, and general code compliance.
+ Manage and execute various administrative functions, including (but not limited to) vetting, documenting, approving, and processing for payment vendor invoices.
+ Manage the preparation and documentation of facilities work and expenses that require corporate approval process (Ringi).
+ Assist the Director of Facilities, General Administration, & Environmental Services with financial analysis, forecasting, and preparation of the annual facilities budgets.
+ Assist with the preparation of administrative reports and presentations as directed by senior management.
+ Manage and report in a timely manner regional facilities KPI’s.
+ Support and participate in corporate Disaster Recovery and Business Continuity initiatives.
+ Assist the Director of Facilities with all safety & security matters within the Region (including the proactive management of the corporate security databases).
+ Must possess a customer first mentality and an ability to function in a culture of collaboration and superior customer experiences.
+ Understand and maintain established company protocols.
+ Provide support and coordination for major meetings conducted in buildings within the region.
Additional Duties and Responsibilities:
+ Must be available for after-hours and weekend emergencies
+ Periodic travel within the assigned Region as needed or directed by the Director. Estimated 30% of the time.
+ Assist the Director of Facilities with special projects related to Facilities Management and General Administration.
+ Perform some minor repairs, maintenance, and installations within the assigned facilities.
Qualifications:Required:
+ 5+ years’ experience in Facilities Management or related field
+ General understanding and working knowledge of Electrical, HVAC fire safety codes, standpipe sprinkler, and OSHA regulations
+ Proficient use of Microsoft Word, Excel, Outlook, and Teams
+ Be detail oriented and exhibit leadership qualities
+ Well organized and able to optimize the use of space and equipment
+ Be well versed in technical/engineering operations and facility management best practices
+ Excellent verbal and written communication skills
+ Possess basic understanding of accounting and financial principles to maintain accurate financial records.
+ Strong Team Player
+ Strong analytics and problem-solving skills.
+ Passion for providing superior customer experiences.
+ OSHA 10 Certified (General Industry)
+ This position will be on-site, Monday- Friday.
Preferred:
+ Bachelor’s degree in Facilities Management or related field
+ OSHA 30 Certified (General Industry)
+ Professional certifications, e.g., IFMA FMP or CFM
+ Handy with general repairs and installations
+ Strong experience with creation and delivery of impactful presentations
