This is an 8 hour/12 month position.
Kentwood, a four-year high school of 1,900 students located east of Kent, offers a wide variety of courses in English, math, science, social studies, P.E., business, world language; including Mandarin Chinese, health, home and family life, technical and vocational courses, and other electives. Kentwood offers students a strong co-curricular program, including a career center, sports teams that are regularly state champions, Grammy award-winning music programs, theater, and special interest activities. Kentwood is on a six period, semester schedule, which enhances the opportunity for student choice and achievement. In addition, the 9th and 10th grades are broken into small learning communities, which enhance personalization and collaboration for student and teacher. Students are challenged at all levels and areas. Kentwood students and staff are committed to success and regularly demonstrate high levels of achievement. The "commitment to excellence" is evident from ELL and Special Education classes to Advanced Placement in art, history, literature, language, biology, chemistry, economics, environmental science, music theory, physics, psychology, calculus and statistics. Kentwood also offers students University of Washington courses in English composition, French, pre-calculus, science, and Spanish. Kentwood enjoys strong parent and community support.
PRIMARY PURPOSE:
The purpose of this position is to perform highly complex clerical tasks and procedures, usually including the daily continual use of complicated computer programs for such purposes as updating and maintaining records, providing the basis for complex data analyses, and comparable tasks and requiring specialized knowledge of computer software and/or highly complex procedures. Such positions include secondary data processors, high school registrars, and other positions requiring comparable knowledge and skills. The employee performs work that requires greater or specialized knowledge of procedures to be followed and/or the computer applications used.
Due to the current COVID situation, all clerical testing has been suspended for KAEOP applicants. Level testing will now only be done after the initial interviews for the finalists only. This means all applicants will be screened for interviews without passing the clerical testing for the position. Once interviewed, if you are a finalist, you will required to pass the clerical test for the position you are being considered for.
Criteria for Initial Placement on the Schedule per Collective Bargaining Agreement: Experience credit for regular employees shall only be allowed for prior experience in a K-12 educational unit to the extent required by RCW 28A.400.300 as amended.
ESSENTIAL JOB DUTIES include the following: This list is meant to be representative, not exhaustive. Some incumbents may not perform all the duties listed while in other cases other duties may also be assigned.
- Performs highly complex clerical tasks, usually requiring the use of complicated computer software, such as coordinating in a secondary school the scheduling and registration of students; the grading process and student academic history records; creating the master schedule or preparing and monitoring the labor and non-labor budget data, billing, and/or transferring necessary credits/debits to proper locations; preparing and posting schedules and records; assigning and scheduling district vehicles; processing new students in a high school; preparing educational records; sending for and receiving records from previous schools; recording receipt of records and creating academic history; processing withdrawals and releasing student records in accordance with legal disclosure procedures; assuring the proper and legal control of records; or collecting, preparing; and combining data from various sources for research and statistical analysis purposes; or other work of comparable complexity and difficulty.
- Coordinates, maintains, and updates student and other records and schedules containing a variety of information from various sources.
- Analyzes reports generated and prepares reports as necessary to document transactions; reconciles status reports and maintains accurate records; provides reports to administrators as requested.
- Provides secretarial and office support work as needed, including word processing, filing, scheduling, and records control; performs data entry, word processing, spreadsheet, and/or report functions on an office computer.
- May provide health room services, as needed, in accordance with established district procedures; administers first aid to ill or injured students when appropriate; administers medication in accordance with district procedures; makes appropriate emergency communications, including follow-up reports, and maintains student health records.
- Provides for a friendly, open, and safe atmosphere in the secretarial office and school reception area.
- Maintains a high degree of confidentiality with regard to all district-related matters and records.
- May type correspondence and processes a variety of forms as needed, including purchase orders, work orders, and program related forms.
- Provides assistance to other staff, as needed.
- Serves as member of the building or program support team; performs related duties consistent with the scope and intent of the position as assigned.
WORKING RELATIONSHIPS:
Works directly under the direction of the building principal and head secretary or other administrator. Interacts daily with students, school staff, patrons, and/or with district staff.
WORKING EVIRONMENT
The working environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. The usual and customary methods of performing the job’s functions require: sitting, walking, standing lifting, carrying, pushing and/or pulling, fine finger dexterity. Daily work performed in a general office setting with secretarial stations in close proximity. Visual and mental concentration on details, dexterity, and precision required. Constant interruptions, routine handling of distraught students and/or parents, and a moderately high exposure to infectious diseases carried by students experienced.
QUALIFICATIONS: Must demonstrate a successful level of the knowledge, skills, and abilities listed below:
- Knowledge of student information system database or other computer application of comparable complexity.
- Knowledge of general office processes and procedures and the use of a variety of office equipment including a personal computer.
- Knowledge of standard office computer applications such as MS Word, Excel, internet e-mail, or similar programs.
- Knowledge of correct grammar, spelling, and English usage.
- Ability to operate a personal computer.
- Ability to operate modern office machines, including office copier, FAX, and calculator.
- Ability to maintain timely, accurate, and efficient record keeping, including preparation of reports from office records.
- Ability to learn new operations, procedures, processes, and use of new equipment.
- Ability to organize, set priorities, and work effectively under pressure.
- Ability to exercise sound independent judgment, including appropriate handling of confidential matters.
- Ability to establish and maintain effective working relationships with students, staff, parents, and the general public.

- Pass “B” level test

Education and Experience
High school diploma/GED or equivalent educational experience and three years clerical or general office experience; additional related or specialized training desirable; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Licensing and Certification
Valid first aid and CPR cards, Automated External Defibrillator (AED) training, and knowledge of modern health care procedures required for school positions.
