Genesys Works is a nonprofit organization that trains and employs high school seniors to perform professional services for major corporations. Our mission is to provide pathways to career success for high school students in underserved communities through skills training, meaningful work experiences and impactful relationships.
Position Description
Reporting to the Senior Director of Development, the Special Events and Volunteer Manager’s primary job responsibilities will be to manage Genesys Works – Houston’s (GWH’s) special events and volunteer engagement, including developing and implementing new opportunities to engage corporate champions, donors, and community supporters; and to serve as project lead for, and oversee the planning and execution of, both internal and external events in support of GWH’s fund development, program, and corporate partnership initiatives.
Specific Responsibilities
Events
- Oversee annual events, including the Ambassadors Luncheon, Corporate Partner events, board events, third-party fundraising events, and Young Professionals engagement events.
- Assist the Senior Director of Development and other development professionals with additional cultivation and fund-raising events.
- Coordinate with the Senior Director of Development, volunteer chairpersons, and committees on all aspects of fundraising for events, including table and team sales, underwriting, and auction item solicitation.
- Manage event budgets, vendor procurement, and contract negotiation.
- Maintain a complete file of event donors, prospect and invitation lists, and printed and promotional pieces.
- Oversee acknowledgment of event contributions and prepare reports in conjunction with the Senior Director of Development.
- Oversee the creation of all event-related materials, both print and electronic. This includes invitations, save-the-dates, videos, programs, scripts, and more.
- Coordinate non-fundraising events including, but not limited to: ribbon cuttings, grand openings, press conferences, and receptions.
- Create social media plans to promote and elevate all events.
- Assist the Senior Director of Development and Executive Director with other special projects as necessary.
Volunteer Engagement
- Serve as liaison between GWH and Young Professionals Group.
- Identify existing and new opportunities to engage volunteers.
- Work with program teams to identify opportunities for external stakeholders to interact with young professionals, interns and alumni.
- Work with Senior Director of Development and GWH leadership to establish clear criteria and metrics for a successful volunteer program.
- Effectively communicate with volunteers, staff members, and program managers to coordinate activities and ensure alignment with organizational goals.
- Create and maintain volunteer schedules based on program needs, volunteer availability, and specific skill sets.
- Provide ongoing support to volunteers, addressing concerns, and ensuring a positive experience throughout their involvement.
- Implement strategies to acknowledge and appreciate volunteer contributions through events, awards, or other recognition programs.
- Maintain accurate records of volunteer information, including contact details, skills, availability, and service hours within a dedicated database.
- Coordinate volunteer communication with marketing liaison to ensure that opportunities are reflected on GHW website, social media pages, email and direct mail campaigns.
Qualifications
- 5 years of professional experience in a lead events role in a nonprofit organization, with proven experience organizing and overseeing events.
- Exceptional communication skills, both written and oral; ability to influence and engage a wide range of donors and build long-term relationships.
- Strong organizational and time management skills with exceptional attention to detail
- Flexible and adaptable style; a leader who can positively impact both strategic and tactical organizational initiatives.
- Ability to work both independently without close oversight, but also a team player who will productively engage with others at varying levels of seniority within and outside Genesys Works Houston
- Bachelor's degree required, or equivalent combination of education and direct experience
- High energy and passion for Genesys Works Houston's mission is essential.
- Customer-focused and donor-centric, with an aptitude for working with diverse community groups.
- A professional and resourceful style; the ability to work independently and as a team player, to take initiative, and to manage multiple tasks and projects at a time.
Physical Requirements
Including, but not limited to standing and sitting for long periods; speaking loudly and clearly; moving boxes; seeing and hearing things both near and far away; and reaching, stooping, kneeling, and fine-finger and hand manipulation in use of a computer, chalkboard, dry erase board, or projector. Employee is required to have close visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading. Employee may be required to walk for long distances at partner schools, corporations, or other relevant sites. Most work environments are climate-controlled, open space floor plans.
