Spathe Systems is a rapidly growing SOF led, 8(a) defense contractor headquartered in Tampa, FL with offices in Fayetteville, NC and strategic partner locations in Virginia Beach and Coronado. As a small business with a tight knit family feel, Spathe empowers its employees to solve problems and make decisions.
Spathe Systems is seeking a Summer College Intern. Under the guidance of the Spathe Systems leadership, he/she will provide daily support for Headquarter functions which may include Human Resources, Information Technology support, Finance, and Contracts.
Responsibilities:Human Resource
- Perform all onboarding activities, assist with orientation.
- HR system administration (ADP)
- Provide day-to-day HR support for employees (benefit enrollments, leave management, data changes)
- Handle employment-related inquiries from applicants, employees
- Assist in development and implementation of human resource policies and forms.
- Performance management system and process support
- Help organize training and development initiatives via LMS (Learning Management System)
- Performs other duties as assigned.
Recruiting
- Assist in sourcing candidates via Job Boards
- Setting up interviews with candidates
- Formatting resumes for proposals
IT Support
- Assist with dispersing IT Hardware
- Image company issued laptops.
- Setup workstations
- Conduct monthly inventory.
Finance
- Purchase order creation, invoice maintenance, and close outs
- Input new contract or modifications information into Deltek.
- New award and modification maintenance
- Policy maintenance and trainings
- Customer Invoice submissions and follow up/tracking.
- Assist with program close outs.
Contracts
- Administrative filing of contract related documents
- Drafting contract related forms for review and signature
- Distributing completed contract forms and documents to required individuals.
- Participate in contract related events such as contract Kick Offs, Transitions In, or Transition Out.
- Draft or Review and Update Standard Operating Procedure Documents for various contracting processes that the intern participates in.
Education/Experience
- Current Junior and/or Senior seeking a bachelor’s degree in business administration, Human Resources, Computer Science, Finance/Accounting, or any related field.
- Preferred Graduation: Fall 2024/May 2025 * Sophomores/Freshman will be considered as well
Skills/Specialized Knowledge/Abilities
- Ability to assist managers and staff in a friendly manner for efficient and consistent administration HQ functions.
- Ability to work independently and without constant assistance.
- Demonstrated professionalism in sound judgment and ethical focus.
- Ability to maintain the highest levels of confidentiality regarding business and staff information.
- Advanced ability to communicate both verbally and in writing to a full range of audiences – executives, staff, and vendors.
- Advanced knowledge of Microsoft Office applications: Word, Excel, PowerPoint, Outlook
Working Hours
- Office hours average 25-30 per week; will not exceed 30 hours per week and hours per day are flexible
- Hybrid office, remote on Tuesday and Friday
- Work typically performed in an indoor office setting (Corporate HQ).
