Job Description Summary

Reporting to the Associate Director of Operations & New Initiatives, the Slate System Analyst (Slate Captain) is a subject matter expert and team leader responsible for driving innovation and optimization within the Slate instance(s) under the purview of Penn Engineering’s Office of Academic Innovation. This role combines deep technical proficiency with strategic oversight, ensuring seamless integration of systems, processes, and teams. This position requires an individual with strong leadership and organizational skills, business acumen, and technical savvy, particularly with Slate, and Ellucian Banner. The Slate Captain plays a pivotal role in enhancing the efficiency of business processes across systems, identifying opportunities for improvement, and spearheading development initiatives that streamline workflows and improve user and stakeholder experiences. This role will collaborate deeply with the Slate System Developer as well as the Slate Coordinator, a lower level administrative role to help drive completion of tasks on the Systems Team.


The ideal candidate is an experienced problem-solver with a strong background in the system analysis, process improvement, and CRM management, preferably with familiarity with SQL, Javascript, HTML, and CSS, and with preferably 4-5 years of experience in Slate. This role should be adept at managing projects and people, building collaborative relationships, and seeing the broader connections between technology, systems, and institutional goals. Additionally, ideal candidates will hold prior experience with admissions and student success operations outside of CRM systems. This role is central to advancing the Office’s mission of innovation through creative, data-informed solutions that support operational excellence and student success.

Job Responsibilities




Slate Strategic Lead & Consultant



+ Directly support the Slate System Owner (Associate Director of Strategic Operations & New Initiatives) to establish strategic direction, development, and maintenance of the Slate Admissions and Student Success system(s)


+ Serve as thought partner to the Associate Director around the Slate system and its assets, collateral, integrations, and other collaborative tools


+ Act as training lead developing training content to support system end users, delivering training content, and providing pre- and post- training support for various constituents


+ Manage Slate escalation plan and serve as secondary/tertiary troubleshooting support


+ As needed, assist with resolving escalated issues from the Slate Help Desk and other tickets/requests.


+ Escalate issues to the Associate Director of Operations, as needed


+ Act as liaison between CETS, ISC, Provost’s Office, and other departments that support Slate operations.


+ Manage integrations with other tools, chiefly including ADIT (the Admissions Data Import Tool)


+ Develop, edit, and maintain Slate documentation in collaboration with the Slate System Developer and Coordinator. Drive a cyclical review of documentation to ensure it is as up to date as possible.


+ Innovate and improve existing processes through the use of Slate, its available integrations, and other available tools


+ Manage consultancy support relationship





Data Reporting & Analytics



+ Data processing: Build reports and queries (including SQL) to extract data from the Slate CRM system and the Data Warehouse. Process and prepare data for analysis and reporting.


+ Reporting: Oversee the maintenance and regular updating of standard reports. Handle requests for ad-hoc reports. Analyze and compile data to fulfill specific reporting requirements. Ensure the accuracy, relevance, and timely completion of all data reports.


+ Data visualization: Transform raw data sets into clear, meaningful visualizations. Perform data analysis to provide actionable insights. Utilize data visualization tools to present data findings effectively.


+ Security: Ensure compliance with all data security practices and routinely advise others on how to keep our data safe.





Business process analysis & Project Management



+ Provide top-tier customer support and build meaningful client relationships with relevant stakeholders


+ Identify business needs, UI/UX preferences, identify limitations and opportunities, and work to set, drive, and exceed product development expectations for stakeholders and teams


+ Support the Associate Director of Operations in coordinating special projects and new initiatives that align with the office’s strategic priorities.


+ Familiarity with API and complex integration development, in collaboration with the Slate System Developer.


+ Develop flow charts, identify process inefficiencies, propose solutions, work in collaboration with Associate Director and other teammates to implement changes


+ Drive creation of project scoping documents, timelines, needs assessments, SWOT analyses, feature needs, and feature development project documents


+ Drive timely development and completion of the Slate Development Backlog:


+ Project manage new initiatives,


+ Triage and scope new requests, develop proposed solutions, work with Associate Director to confirm direction


+ Work with the System Managers to develop and test proposals


+ Facilitate change management with relevant stakeholders, and develop meaningful documentation and training content


+ Collaborate with the Slate Coordinator to maintain accurate and up-to-date Asana project boards to track and triage requests

Qualifications




Required



+ Bachelor’s degree in an IT-related field and two to three (2-3) years of experience in an Enrollment Server role requiring technical and functional knowledge, or an equivalent combination of education and experience.


+ Experience with system integration, operation, and data management


+ Experience providing technical and operational support to an admissions and/or student success apparatus within a university


+ Strong project management experience and familiar with task/project management tools such as Asana





Preferred



+ Experience as a manager or developer in the Slate CRM


+ Master’s degree preferred
