Position Responsibilities: The SHINE Program Assistant plays a pivotal role in supporting all administrative functions for the SHINE Program. Responsibilities include managing daily call operations, overseeing data collection and entry, report management; maintaining accurate records and files, preparing program materials, sorting and coordinating mail; and assisting with preparations for SHINE counselor meetings and trainings.
Essential Functions: (Core duties or tasks that are fundamental and not marginal to the performance of the job)
- Assist the Regional SHINE Program Director with daily administrative tasks, including managing voicemail downloads and returning calls, data collection and management, data entry and preparation for reports, filing, and preparing program materials for meetings, mailings, and events.
- Participate in scheduled meetings, including team meetings, counselor meetings and trainings, event planning sessions, Community Programs Department meetings, and agency all-staff meetings.
- Assist with the preparation for both virtual and in-person counselor training sessions, including coordinating email invites and RSVPs, helping prepare and disseminate meeting materials, tracking attendance, monitoring chat, and helping with set up and clean-up.
- Other duties as assigned.
Qualifications:
- Associate degree preferred with a minimum of three years of administrative experience.
- Superior computer skills. Experience with Microsoft Outlook, Word, Excel, and PowerPoint.
- Strong administrative, organizational, and problem-solving abilities.
- Strong time-management skills.
- Excellent verbal and written communication skills.
- Ability to work independently, manage competing priorities, and meet deadlines.
- Friendly, outgoing nature, with the ability to thrive in a dynamic, fast-paced and creative environment with a sense of humor.
- Must possess a valid driver's license, have personal, reliable transportation and be willing to drive within service area.
- Ability to lift 30 lbs.
- Bilingual in Spanish a plus.
