Job/Position Title: Executive Assistant/Office Manager
Reports to: President & CEO
Classification: Full-time
JOB DESCRIPTION: The Executive Assistant/Office Manager provides comprehensive administrative support to the President & CEO, managing appointments, development support, and various operational tasks. This position also offers assistance to other senior leadership team members as needed.
JOB DUTIES AND RESPONSIBILITIES:
Executive, Board, and Leadership Support:
Serve as Executive Assistant to the CEO and provide support to the senior leadership team as needed.
Perform a wide range of administrative tasks including scheduling and managing the CEO's calendar, preparing mileage and expense reports, and compiling meeting materials such as PowerPoints and meeting minutes.
Coordinate staff meetings, retreats, and employee recognition activities.
Act as the primary liaison to the Board of Directors, managing scheduling, communication, and coordination of Board and committee meetings. Compile and edit Board communications, such as the Friday Focus, and maintain Board committee assignments.
Maintain a professional presence and rapport in all interactions, both in person and via phone, especially in rapidly changing circumstances, with Board members, volunteers, donors, teachers, partners, staff, and the community.
Handle sensitive and confidential information with the highest level of professionalism.
Schedule school observations for Board members, donors, and partners.
Support the CEO with employee recognition efforts and administrative duties including birthdays, anniversaries, Board/staff lists, and hiring/onboarding tasks.
Assist the CEO with special projects and internal event coordination as required.
Support special constituent committees such as the Young Professionals Board as needed.
Collect staff timesheets bi-weekly, scan, and submit them for approval.
Manage the onboarding process for new employees through the HR system.
Order office supplies and maintain office equipment.
Manage incoming mail and perform remote bank deposits.
Assist the development department with event support and communications.
Attend and volunteer at SHARP events.
Perform other duties and additional responsibilities as assigned.
QUALIFICATIONS:

Ability to maintain a high degree of confidentiality.
Bachelor of Arts or Science degree required.
Previous non-profit and executive-level administrative support experience preferred.
Exceptional customer service skills with a focus on exceeding expectations.
Ability to work effectively with diverse groups in a fast-paced, team-oriented environment.
Proficiency in Microsoft Office programs and general office equipment.
Positive, self-motivated, creative problem-solver with excellent written, oral, organizational, and interpersonal skills.
Detail-oriented, highly organized professional with the ability to prioritize and manage multiple tasks with minimal supervision.
Must have a valid driver's license, reliable transportation, and flexibility to work evening and weekend hours as needed.
